[title] Managing Franchises Part 1: Franchise Owners
[path] Playbooks/Operations Playbooks/

***Grow your franchise network with the simple co-host model - visibility without the complexity.***

## The Co-Host Model Explained

Running a multi-location fitness, wellness, or movement franchise? Sweatpals makes it simple:

- You create one main brand account
- Each franchisee or chapter creates their own account
- They add your brand as co-host on events
- Everyone benefits from shared visibility

Whether your franchise offers yoga, pilates, meditation, dance, martial arts, or recovery services - this model creates a win-win for everyone!

## Getting Your Brand Account Started

### Your Main Account Setup

1. Sign up at [sweatpals.com](https://www.sweatpals.com) with your franchise name
2. Add your logo, cover photo, and brand story
3. Include links to your main website and socials

That's it - your brand presence is ready! You won't be creating events directly from this account, unless you want to. Instead, you'll appear as co-host on all your franchisees' events.

### Welcoming New Franchisees

Hey \[Name],

Ready to get \[Location] on Sweatpals? Here's the quick version:

1\. Create your account at [sweatpals.com](https://www.sweatpals.com)
2\. Start adding your classes, workshops, and wellness offerings
3\. Add "\[Brand Name]" as a co-host on each event

[title] Check-In: The Check-In Chaos Elimination System
[path] Feature Guides/

## Overview

Transform your event check-in from a staffing nightmare into a seamless 30-second process. The Club Palm Beach cut their check-in staff in half while handling 350+ guests arriving within 30 minutes.

## When to Use This Play

- Lines snake around the building at every event
- You need multiple staff just for check-in
- Guests arrive frustrated before events even start
- You're using separate systems for tickets and waivers

## The Two-App Nightmare

:::hint{type="info"}
*"People would buy the ticket on Eventbrite, then they'd have to go to our secondary app, Clever Waiver... When they came to check in, they had to show us two different apps or emails to sign into the event."*
:::

### The Hidden Costs

- Double the check-in time per guest
- Double the staff needed
- Exponentially more confusion
- Frustrated guests = poor event start

## The Single-Flow Solution

### Step 1: Integrate Everything

- Waiver built into checkout process (See: [Digital Waiver](https://help.sweatpals.com/84-safety-and-compliance#digital-waivers))&#x20;
- One QR code contains everything (See: [QR Code Check-In](https://help.sweatpals.com/22-event-registration-and-attendees#qr-code-check-in-mobile))
- Single scan at entry

### Step 2: Optimize the Flow

**Pre-event:**

- Test the full guest journey yourself
- Remind group order purchasers to transfer tickets to group members and ensure recipients accept their transfers (See: [Email & SMS Campaigns](https://help.sweatpals.com/71-email-and-sms-campaigns), [Transfer & Accept Tickets](https://help.sweatpals.com/41-checkin-and-qr-codes))
- Train staff on single-scan process
- Set up express lane for prepared guests

**At check-in:**

- One device per staff member
- Scan and go system

### Step 3: Measure Success

Track your check-in time:

- **Old system:** 2–3 minutes per guest
- **New system:** 30 seconds or less

:::hint{type="info"}
*"I had to get double staffing to even just keep up... 350 guests showing up within 30 minutes and they're all in a line waiting, frustrated."*
:::

## Implementation Checklist

### Before Go-Live

- [ ] Set up integrated waiver — Choose text waiver option (not link) when creating your experience

### Week Before Event

- [ ] **Add your check-in team** as event admins in Sweatpals
- [ ] **Train your team** on the check-in process — ensure everyone who will be scanning tickets downloads the app
- [ ] **Confirm check-in location** and flow pattern at venue
- [ ] **Remind group purchasers to transfer tickets&#x20;**&#x74;o all group members, and remind recipients to accept their tickets
- [ ] **Set up backup system** — Have a laptop/tablet available for manual searches if guests can't find QR codes (you can search in the app too, but a laptop can sometimes be easier)

### Day of Event

- [ ] **Arrive 90 minutes early** for setup and system checks
- [ ] **Test check-in process** with your team before guests arrive
- [ ] **Open check-in 45 minutes before** event start time
- [ ] **Brief your team** on handling edge cases (lost QR codes, name misspellings, etc.)

:::hint{type="info"}
**The payoff:** Cut staffing costs by 50%, eliminate guest frustration, and start events on a high note
:::

## Pro Tips

💡 **Position your fastest team member** at the front of the line to set the pace

💡 **Create an "express lane"** for guests with QR codes ready

💡 **Have one team member float** to help with questions or concerns, rather than slowing down the main line

[title] Paid Memberships: Turn One-Time Participants Into Lifelong Champions
[path] Feature Guides/

# Add Memberships to Build Long-Term Community Loyalty: Turn One-Time Participants Into Lifelong Champions

Stop watching 80% of your participants disappear after their first event. Most successful Sweatpals hosts discovered they were treating symptoms, not the disease—until memberships transformed casual attendees into committed community members. This guide reveals proven strategies from hosts who built $50K+ annual recurring revenue by creating irresistible membership experiences.

## The $50,000 Wake-Up Call That Changed Everything

Lisa, a Portland pilates instructor, watched 200 people cycle through her classes in six months. Only 15 stayed. She was constantly marketing to fill spots, spending 20 hours weekly on promotion, and earning inconsistent income that stressed her out.

Then she launched a simple 3-tier membership system. Within 12 months, she had 75 committed members generating $4,200 monthly in predictable revenue—and she cut her marketing time by 70%.

**The difference? She stopped chasing transactions and started building relationships.**

## The Hidden Psychology of Membership Loyalty

### Why Free Events Create Flaky Participants

Drop-in culture trains people to treat your community like a convenience store—they take what they need and leave. Memberships create a completely different psychological contract.

**The Commitment Paradox**

- When people pay monthly, they feel invested in success
- Members attend 3x more events than drop-in participants
- Subscription psychology creates "loss aversion"—they don't want to waste their investment
- Members become community advocates, not just consumers

**Real Host Data:**

:::BlockQuote
"My drop-in rate was 60% no-shows. My members show up 85% of the time and bring friends. The monthly commitment completely changed their relationship with my community." - David, Seattle Host
:::

## The 3-Tier System That Actually Works

### Tier 1: The Starter ($29-49/month)

**"Community Explorer"**

**Core Benefits:**

- 4 events per month
- Community event access
- Monthly wellness newsletter
- Member-only group chats

**Psychology:** Low barrier entry that gets people committed without overwhelm. Perfect for testing your community fit.

**Success Metric:** 87% of members who experience a positive onboarding process still remained active after 6 months.

### Tier 2: The Sweet Spot ($79-99/month)

**"Wellness Warrior"**

**Core Benefits:**

- Unlimited events
- 1 guest pass monthly
- Exclusive quarterly workshops
- Priority booking
- 10% merchandise discount

**Psychology:** This is where most committed members land. Unlimited access removes friction while guest passes create referral opportunities.

**Success Metric:** 60% of your revenue should come from this tier—it's the perfect balance of value and accessibility.

### Tier 3: The VIP Experience ($119-149/month)

**"Inner Circle"**

**Core Benefits:**

- Everything in Warrior tier
- Monthly 1-on-1 coaching session
- Access to private monthly events
- Free guest passes (2 per month)
- Exclusive retreat discounts

**Psychology:** For your super-fans who want deeper connection. The 1-on-1 time creates unbreakable bonds.

**Success Metric:** Only 10-15% of members, but they're your strongest advocates and referral sources.

## The Recurring Revenue Revolution

### Why Predictable Income Changes Everything

**The Stress-Free Math:**

- 50 Gateway members × $39 = $1,950/month
- 30 Warrior members × $89 = $2,670/month
- 10 Inner Circle members × $169 = $1,690/month
- **Total: $6,310 predictable monthly revenue**

**The Compound Effect:** Month 1: $1,200 revenue Month 6: $4,800 revenue (same marketing effort) Month 12: $6,300 revenue (marketing becomes easier)

**Freedom Benefits:**

- Plan expenses confidently
- Invest in better equipment
- Take vacations without income panic
- Scale marketing knowing your baseline

:::

### The Retention Intervention System

**Warning Signs (Act Within 7 Days):**

- No event attendance for 14 days
- Declined social engagement
- Missed 2+ reserved spots

3. **Flexible solutions** (pause membership, different event times, modified plan)
4. **Value reminder** (specific benefits they've enjoyed)

**Success Rate:** 60% of at-risk members stay when you intervene proactively.

### The Vanity Metrics Trap

**❌ METRICS THAT MISLEAD**

**Don't Optimize For:**

**✅ METRICS THAT MATTER**

**Always Optimize For:**

- Revenue per member and per event
- Member lifetime value and retention rates
- Conversion rates from marketing to attendance
- Net promoter score and referral rates

### The Analysis Paralysis Problem

**Balanced Decision-Making:**

- Use data to inform decisions, not delay them
- Set specific timeframes for data collection before acting

[title] The Franchise Scaling System
[path] Playbooks/Growth Playbooks/

## Overview

Build a replicable community model that can expand to multiple cities while maintaining quality. The Club Palm Beach scaled from one location to 4+ across Florida in just over a year using this systematic approach.

## When to Use This Play

- You're receiving "hundreds and hundreds of DMs" asking for events in other cities
- Your event format is proven and consistent
- You want passive income from other operators
- Ready to scale impact without scaling your time

## The Franchise Foundation

### Create Your Operations Playbook

Document everything before expanding to maintain standards.

**Key components:** *"We made a playbook, standards, rules, like how we actually operate an event, how we operate with partners, brands, vendors, guests."*

:::hint{type="info"}
For detailed guidance on setting up your franchise operations, see [Managing Franchises](https://university.sweatpals.com/managing-franchises-part-1-franchise-owners) in Sweatpals.
:::

### The Shadow Training Process

Never let franchisees operate without hands-on experience.

**Training steps:**

1. New operator shadows you through entire event
2. Introduces them to all vendors and partners
3. They co-host with you present
4. You observe their first solo event

:::hint{type="info"}
&#x20;**Why it matters:** *"A lot of people think that we just post a link and then people just show up... there's a lot more in depth to it."*
:::

## The Revenue Model

### Two-Part Structure

- Upfront franchise fee for brand licensing
- Ongoing percentage of event revenue
- Keep it fair to incentivize performance

### Included Support

- "A lot of the operating costs that are covered by us"
- Access to brand partnerships (Celsius, etc.)
- Vendor relationships already negotiated
- Marketing templates and systems

## Quality Control

### Regular Communication

- Coaching calls with all franchisees
- "Make sure that everybody's on the same page"
- Share what's working across locations
- Address challenges quickly

### Brand Standards

:::hint{type="info"}
*"Our biggest concern and always main priority is making sure our events are identical or as close as they can be to our Palm Beach location."*
:::

## The Expansion Strategy

### Geographic Growth Pattern

Palm Beach → Delray → Fort Lauderdale → Miami → Tampa → Jacksonville

### Selection Criteria

- Start with adjacent markets
- Look for cities with existing demand
- Consider pop-up events first to test markets

## Support Infrastructure

### Direct Access

:::hint{type="info"}
*"Whenever we bring someone on, I'll personally host the event and have them shadow"*
:::

### Communication Channels

- Direct point of contact for issues
- Strong team support system
- Quick response to questions

## Your Action Plan

- [ ] Month 1: Document your current operations completely
- [ ] Month 2: Create franchise materials and fee structure
- [ ] Month 3: Select and train your first franchise operator

**Scale your community's impact by empowering others to spread your vision while maintaining the standards that made you successful.**

We maintain local Sweatpals accounts across major markets to help amplify your events. Here's how to leverage this network and get your community noticed.

## Getting Featured on Our Socials

**The Golden Rules:**

1. **Promote Sweatpals as your primary platform** - We prioritize amplifying content that drives traffic to Sweatpals versus other platforms
2. **Keep videos short** - 15-20 seconds maximum for best engagement
3. **Make it visually engaging** - Clear, simple content that stops the scroll
4. **Tag the right account** - Use your local Sweatpals account when available

## Why Local Accounts Matter

- **Local accounts** are more flexible and community-focused
- **Better engagement** - Local followers are more likely to attend your events
- **No local account yet?** - Tag our main account! We typically launch local accounts once a city has 15+ active communities

## Content That Gets Reposted

**What Works:**

- Action shots from your events showing real community moments
- Quick event previews that give a taste of the experience
- Promoting upcoming events with clear calls-to-action

**What Doesn't:**

- Long-form content or videos over 20 seconds
- Poor quality images or shaky videos
- Content that directs users to other platforms instead of Sweatpals
- Promotional posts without clear next steps (always include how to sign up!)

## Pro Tips for Success

Tag us in your event posts - while we aim to promote and highlight our top communities, we prioritize feed layout and showcasing a diverse range of events.&#x20;

**The best approach?&#x20;**&#x46;ocus on creating consistent, quality content and building genuine engagement with your community.

[title] Payment Plans: Turn Premium Event Sticker Shock Into Sellout Success
[path] Feature Guides/

# Payment Plans: Turn Premium Event Sticker Shock Into Sellout Success

**Stop losing 70% of interested attendees at checkout. Most successful Sweatpals hosts discovered they were pricing out their dream participants—until payment plans revealed the truth. This guide shares proven strategies from hosts who doubled their premium event revenue by making high-ticket experiences accessible.**

## The $15,000 Discovery That Changed Everything

Maya, a Portland retreat leader, watched 200 people visit her $1,200 wellness retreat page monthly. Only 3 booked.

Her payment plan data revealed something shocking: when she emphasized "Secure your spot for just $300 today," her conversion rate jumped to 23 bookings per month—adding over $15,000 in monthly revenue.

Within six months of optimizing her premium event strategy around payment accessibility, she grew from running 2 retreats per year to 8 sold-out experiences.

The difference? She stopped assuming price was the problem and started solving the payment barrier.

## The Hidden Psychology of Premium Pricing

### Why Your Best Events Might Be Your Worst Sellers

A $800 yoga retreat might provide incredible value, but tracking reveals a harsh truth: most interested attendees abandon at the payment screen. Here's what top hosts discovered:

**The Affordability Illusion**

- High event value ≠ high conversion
- People who can afford $800 still prefer payment flexibility
- Breaking payments into chunks creates psychological comfort
- Immediate access with delayed payment removes urgency pressure

**Real Host Data:** "My $1,500 meditation retreat got 500 page views but 2 bookings. Same retreat marketed as 'Start your journey for $375 today' got 45 bookings from 600 views. I was optimizing for perfection, not psychology." - David, Seattle Host

## Payment Plan Mastery: What Actually Works

### 1. The Pricing Psychology Revolution

**Why Mental Math Beats Actual Math**

Top-performing hosts report that leading with the installment price outperforms total price messaging. The secret? Cognitive load reduction.

**Strategic Messaging Map:**

☀️ **Morning Events:** "Start your day transformed for just $75" (vs. $300 total)
&#x20;🧘 **Wellness Retreats:** "Invest in yourself for $250 today" (vs. $1,000 total)
&#x20;💪 **Fitness Intensives:** "Commit to change for $50" (vs. $200 total)
&#x20;📚 **Workshops:** "Learn for less than dinner out: $35" (vs. $140 total)

**Power Move:** Create scarcity around the installment option. "Payment plans available for first 20 registrations only."

### 2. The Conversion Optimization Framework

**Event Page Performance Truths:**

| **Element**        | **What Works**                    | **What Doesn't**          | **Conversion Sweet Spot**  |
| ------------------ | --------------------------------- | ------------------------- | -------------------------- |
| **Headlines** | "Secure your spot for $X" | "Total price: $XXX" | Leading with first payment |
| **Descriptions** | Payment flexibility emphasis | Traditional event details | "Pay as low as $X today" |
| **Call-to-Action** | "Reserve with $X down"            | "Buy now for $XXX"        | Action + low barrier       |
| **Social Proof**   | "Join others who started with $X" | Generic testimonials      | Payment-specific success   |

**The Instagram Stories Secret:** Posts mentioning payment plans between 6-7 AM convert better than evening posts. Early decision-makers are action-takers.

## Marketing Your Payment Plans Like a Pro

### The Language That Converts

**Instead of saying:** "We offer payment plans"
&#x20;**Try:** "Start your transformation today for just $X"

**Instead of:** "Split into 4 payments"
&#x20;**Try:** "Secure your spot now, pay over time"

**Instead of:** "Payment plan available"
&#x20;**Try:** "No need to wait—begin with $X down"

### Content Marketing Gold Mine

**Turn Payment Plans Into Content:**

**Social Media Content:**

- Behind-the-scenes: "Setting up my retreat payment plan"
- Success stories: "How payment plans changed my business"
- Educational: "Breaking down the real cost of transformation"

**Email Marketing Sequences:**

- Day 1: "Making wellness accessible to everyone"
- Day 3: "Your investment in yourself starts with $X"
- Day 7: "Don't let price be the barrier to your transformation"

### The Three-Touch Payment Plan Strategy

**First Touch: Plant the Seed**
Mention payment plans casually in all premium event content. Don't make it the focus, just let people know it exists.

**Second Touch: Address the Concern**
When someone engages but doesn't book, follow up with payment plan information. "I noticed you were interested in the retreat—did you know you can secure your spot for just $X today?"

**Third Touch: Create Urgency**
&#x20;"Only 5 payment plan spots remaining" or "Payment plan pricing ends Friday."

## Real-World Application Scenarios

### Scenario 1: The Wellness Retreat

**The Challenge:** Your $1,200 5-day wellness retreat has amazing content but slow bookings.

**The Payment Plan Solution:**

- Market it as "Transform your life starting at $300"
- Create early bird payment plans: "Secure early bird pricing with $250 down"
- Partner with local wellness businesses: "Exclusive payment plan access for our community"
- Use seasonal messaging: "Spring transformation starts with one payment"

**The Messaging:** "Don't let finances delay your transformation. Begin your wellness journey today for the same cost as a weekend getaway."

### Scenario 2: The Fitness Bootcamp Series

**The Challenge:** Your 12-week transformation program costs $600, scaring away potential participants.

**The Payment Plan Solution:**

- Position as "Start your transformation for less than your monthly gym membership"
- Create accountability messaging: "Commit to 12 weeks, pay in 4 simple payments"
- Use social proof: "Join others who complete the program with payment plans"
- Seasonal positioning: "New Year, new payment plan, new you"

**The Messaging:** "Why wait three months to save up? Start transforming today and pay as you progress."

### Scenario 3: The Specialty Workshop

**The Challenge:** Your advanced meditation workshop costs $400, limiting your audience.

**The Payment Plan Solution:**

- Market to beginners: "Advanced skills, beginner-friendly payment"
- Create learning journey messaging: "Master meditation one payment at a time"
- Partner with meditation apps: "Exclusive payment plan for app subscribers"
- Use expertise positioning: "Investment in mastery starts with $100"

**The Messaging:** "Advanced training shouldn't require advanced budgeting. Start your mastery journey today."

## The Psychology Behind Payment Plan Success

### Why Payment Plans Work So Well

**The Commitment Bias Effect**
When someone makes that first payment, they're psychologically committed to following through. They've already invested, so they're more likely to attend and engage.

**The Affordability Illusion**
$250 feels dramatically different from $1,000, even though the total cost is the same. It's not about the math—it's about the emotional response to the number.

**The Immediate Gratification Factor**
&#x20;Payment plans give people what they want now (the ticket, the commitment, the spot) while spreading the financial impact over time.

### Overcoming Payment Plan Objections

**"I don't want to be in debt"**
Response: "This isn't debt—it's budgeting. You're paying for something you've already committed to, just spreading it over time for better cash flow."

**"What if I can't make a payment?"**
Response: "Klarna handles all of that, and you have flexibility in managing your payments. Plus, you're investing in yourself, which is always worth prioritizing."

**"I prefer to pay in full"**
Response: "Absolutely! Payment plans are just an option for those who prefer to manage their cash flow differently. You can always pay in full if you prefer."

## The Million-Dollar Mindset Shift

**Stop thinking like a fitness instructor. Start thinking like an accessibility advocate.**

**Old Way:** "I hope people can afford my premium events"
**New Way:** "I'll make my premium events accessible to everyone"

**Old Way:** "Payment plans are for people who can't afford it"
**New Way:** "Payment plans are smart budgeting for everyone"

**Old Way:** "I'll mention payment plans if someone asks"
**New Way:** "I'll lead with payment plan accessibility in my marketing"

## Your Next Action

The most successful Sweatpals hosts share one trait: they make premium experiences accessible. Your payment plans aren't just a payment option—they're a marketing strategy.

**Start here:**

1. Review your current premium event listings
2. Rewrite descriptions to lead with payment plan accessibility
3. Create social media posts highlighting payment flexibility
4. Send an email to your list about payment plan options
5. Track your conversion changes over the next two weeks

Remember: Every premium event that goes unsold because of payment barriers is a missed opportunity for both revenue and impact. Payment plans help you capture that demand while maintaining the premium nature of your offerings.

The question isn't whether to emphasize payment plans. It's whether you're ready to make your transformational experiences accessible to everyone who needs them.

Stop losing $200+ monthly from walk-ins you can't accept and automation you're not using. Most successful Sweatpals hosts discovered they were leaving serious money on the table—until they unlocked the power of instant payments and smart integrations. This guide reveals how top hosts doubled their revenue streams by mastering these game-changing tools.

## The $3,000 Walk-In Discovery That Changed Everything

Marcus, a Miami bootcamp leader, used to watch 5-8 people every week show up without pre-registering. His response? "Sorry, online only." Over six months, he calculated he'd turned away over $3,000 in potential revenue.

Then he discovered Sweatpals Tap to Pay. Within his first month, he captured every walk-in plus started selling protein shakes post-workout. Result: an extra $800 monthly revenue from money that was literally walking away.

**The difference? He stopped saying "sorry" and started saying "let me help you register."**

## The Hidden Psychology of Last-Minute Money

### Why Walk-In Revenue Is Pure Gold

That person showing up 5 minutes before your yoga class isn't just another participant—they're your highest-value customer. Here's what top hosts discovered:

**The Walk-In Advantage**

- 3x more likely to become regulars (they're already committed enough to show up)
- 40% higher lifetime value than online-only registrants
- Generate 2x more word-of-mouth referrals
- Create urgency that drives immediate additional purchases

**Real Host Data:**

:::BlockQuote
"I thought walk-ins were a hassle. Now I realize they're my best customers. They're already here, already committed, and ready to buy whatever I'm selling." - Sarah, Denver Yoga Instructor
:::

## Revenue Stream Mastery: Beyond Event Tickets

### The 5-Revenue-Stream Framework

Top-earning hosts don't just sell event tickets. They've created complete revenue ecosystems using Tap to Pay:

**Stream #1: Walk-In Tickets (The Foundation)**

- Sell existing event tickets to last-minute attendees
- Average capture rate: 85% when Tap to Pay is available
- Typical value: $15-35 per transaction
- Best practices: Have pricing visible, make process seamless

**Stream #2: Ad-Hoc Item Sales (The Natural Upsell)**

- Create and sell items not tied to specific events
- Protein shakes/smoothies: $8-12 each
- Resistance bands/equipment: $15-25 each

### Strategic Tap to Pay Placement Psychology

**The Golden Moments for Sales:**

| Timing | What to Sell | Conversion Rate | Pro Tips |
| ---------------------------------- | ----------------- | --------------- | -------------------------------- |
| **Pre-Event (5 min before)**       | Walk-in tickets   | 85%             | Use existing event ticket prices |
| **Mid-Event Break**                | Hydration/snacks  | 60%             | Quick Sale mode for speed        |
| **Post-Event (immediately after)** | Recovery products | 40%             | Catch the endorphin high         |
| **Post-Event (10 min later)**      | Merch/equipment   | 25%             | Social proof from others buying  |

**The All-in-One Platform Advantage:**

One of the biggest wins? Everything lives in one place. Your online ticket sales, walk-in sales, merchandise transactions, and service upsells all appear in your unified Orders dashboard. No more:

- Juggling multiple payment systems
- Reconciling different sales channels
- Managing separate spreadsheets
- Losing track of total revenue

**Professional Credibility Boost:**

:::BlockQuote
"When I can handle any payment situation seamlessly, I look like I have my business together. It's professional and convenient, and people notice." - Jennifer, Phoenix Host

## The Integration Automation Revolution

### Why Manual Work Is Killing Your Growth

Every minute spent on admin tasks is a minute stolen from revenue-generating activities. Here's what hosts discovered when they automated:

**Time Recovery Analysis:**

- Manual email list updates: 2 hours/week → 0 minutes (Zapier)
- Registration tracking: 1 hour/week → 0 minutes (Google Sheets automation)
- Follow-up campaigns: 3 hours/week → 15 minutes setup (Meta Pixel retargeting)
- Customer journey tracking: Impossible → Automatic (Google Analytics)

**Case Study:**

:::BlockQuote
"I used to spend Sunday mornings updating my CRM, email lists, and tracking spreadsheets. Now everything happens automatically. I got 4 hours back every week to actually grow my business." - Jennifer, Phoenix Host
:::

### The $500 Meta Pixel Breakthrough

**The Facebook Ad Revolution**

Before Meta Pixel integration, hosts were flying blind with Facebook ads. After integration, they discovered shocking truths:

**Pre-Pixel Assumptions vs. Post-Pixel Reality:**

- "My video ads work best" → Data showed carousel ads converted 3x better
- "Evening posts get more engagement" → Morning posts drove 2x more registrations
- "Broad targeting reaches more people" → Lookalike audiences converted 4x higher
- "More likes means more bookings" → High-engagement posts often brought zero registrations

**The Retargeting Gold Mine:**

- 70% of people who view your event page don't register
- Meta Pixel lets you follow up with custom ads
- Average conversion rate on retargeted audiences: 35%
- Cost per acquisition drops 60% with proper retargeting

### Advanced Integration Strategies

### The Triple-Power Automation Stack

**Level 1: Basic Automation (Zapier Foundation)**

:::BlockQuote
New Registration → Add to Email List → Send Welcome Sequence
:::

**Result:** 40% increase in participant retention

**Level 2: Marketing Intelligence (Meta + Google)**

:::BlockQuote
Page Visit → Pixel Tracking → Custom Audiences → Targeted Ads → Conversion Tracking
:::

**Result:** 60% improvement in ad ROI

**Level 3: Full Ecosystem (All Integrations)**

:::BlockQuote
Registration → CRM Update → Email Automation → Retargeting Setup → Analytics Tracking → Performance Optimization
:::

**Result:** 200% improvement in marketing efficiency

### The SMS Secret Weapon: Attentive Integration

**Why SMS Outperforms Email 10:1**

While everyone focuses on email marketing, smart hosts discovered SMS dominance:

**SMS vs. Email Performance:**

- Open rates: SMS 98% vs. Email 20%
- Response rates: SMS 45% vs. Email 6%
- Time to open: SMS 90 seconds vs. Email 6.48 hours
- Conversion rates: SMS 36% vs. Email 3.2%

**The Attentive Advantage:**

- Track who visits but doesn't register
- Send targeted SMS campaigns based on behavior
- Recover abandoned registrations with timely reminders
- Create VIP lists for priority event access

**Winning SMS Sequences:**

1. **The Abandonment Recovery:** "Still thinking about tomorrow's yoga class? Spots are filling up!"
2. **The Social Proof Push:** "3 of your neighbors just signed up for Saturday's bootcamp"
3. **The Last Call:** "Final 2 spots available for tonight's HIIT class"

## Overview

Drive 80%+ of your weekend ticket sales through a coordinated Black Friday campaign. The Club Palm Beach sold 100+ tickets during their promotional weekend — 83% of total weekend sales at that point, with strong sales continuing after the promotion ended.

## When to Use This Play

- You want to capitalize on Black Friday momentum
- Need to front-load sales (not last-minute)
- Have partners willing to sweeten deals
- Want predictable revenue spikes

## The Psychology of Urgency

:::hint{type="info"}
*"Urgency is always a big factor in selling anything. How can you communicate a message that creates urgency for someone to convert right then and there?"*
:::

## The 5-Layer Black Friday Formula

### Layer 1: The Offer Structure

- **Limited-time pricing** with countdown timer (See: [Limited-Time Offers](https://help.sweatpals.com/24-event-tickets-and-pricing#limited-time-offers))

- **Visual urgency** - glowing timer effect with Limited-Time Offers

### Layer 2: The Sweetener

Partner add-on example:

:::hint{type="info"}
*"We gave them a $50 yoga mat that was custom by Celsius on top of it, just for free."*
:::

Find partners who want holiday visibility — offer co-marketing in exchange for products.

### Layer 3: The Timeline

**Thursday evening:**

- Activate offer at 6 PM

**Email subject lines:**

- "Your Black Friday ticket is waiting"
- "100 people already claimed theirs..."
- "Ends Sunday: Don't miss this"

### Layer 5: The Social Push

- Instagram feed post (once)
- Stories every 4 hours
- Partner reshares
- Influencer ambassadors

## Pro Implementation Tips

### Bundle Math

:::hint{type="info"}
*"I didn't realize I had to calculate half the cost... for a BOGO option, instead of $30 for two tickets... readjust to $15"*
:::

### Track Everything

- Source of each sale (See: [Tracking Links](https://help.sweatpals.com/72-promotional-tools#tracking-links))
- Peak purchase times
- Which message converted best

## Expected Results

- 70–85% of weekend sales during promo
- 3–5× normal weekend revenue
- Advance sales vs. last-minute stress
- Partner relationships strengthened

[title] Membership Migration Part 5: Class Packs
[path] Playbooks/Operations Playbooks/

Migrating class packs to Sweatpals requires careful coordination between hosts and our team. Here's what you need to know for a smooth transition.

## What We Need From You

To successfully migrate your existing class pack holders, please provide:

- **Contact details**: Name, email, and phone number for each class pack holder
- **Credit balance**: The exact number of remaining credits for each person
- **Current tracking method**: How you're currently managing these credits (spreadsheet, booking system, paper records, etc.)

## Planning Your Migration Timeline

Timing is everything when it comes to class pack migration. We'll work with you to:

**1. Set a migration date** - Choose a date when our team can transfer all credits into Sweatpals. This should align with your class schedule to minimize disruption.

**2. Communicate with members** - We recommend notifying class pack holders at least one week before migration. Let them know their credits will transfer seamlessly and they'll receive instructions for accessing them in Sweatpals.

**3. Freeze new pack sales** - Consider pausing class pack sales 3-5 days before migration to maintain accurate credit counts.

## Migration Day Process

On the agreed migration date:

- Our team will upload all class pack credits to member accounts
- Members will receive an email with instructions to access their credits
- You'll get confirmation when migration is complete
- Any classes between your last credit count and migration will need to be tracked separately

## Best Practices

To avoid gaps in service:

- Complete a final credit audit 24 hours before migration
- Schedule migration for a day with no classes if possible
- Have a backup list of attendees for classes immediately following migration

Ready to get started? Reach out to us with your class pack holder information and preferred migration dates. We'll handle the rest to ensure your members experience a seamless transition to Sweatpals.

[title] Campaigns: Smart Segmentation Strategy
[path] Feature Guides/

## Overview

Stop blasting everyone with everything. Gabriel from [Over the Top](https://www.sweatpals.com/host/overthetopxp)'s segmentation approach maintains list health, increases open rates, and drives higher conversion by only messaging people about events they actually care about.

## The Core Principle

*"People only want to see what they care about. How do I know they care? They tell me."* — Gabriel from [Over the Top](https://www.sweatpals.com/host/overthetopxp)

Every signup, waitlist registration, and ticket purchase is someone telling you what interests them. Use that information to segment ruthlessly.

## When to Use This Play

- You host multiple event types or locations
- You're seeing high unsubscribe rates
- Your open rates are declining
- You want better conversion without more marketing spend

## The Problem with Blast Marketing

Gabriel's experience at [Over the Top](https://www.sweatpals.com/host/overthetopxp): When he blasted 5,000 people about every event, 4,500 wondered "why am I looking at this?" and eventually unsubscribed. Now he messages 400 targeted people who've shown interest in that specific event type or location, achieving higher open rates, better conversion, and protecting list health.

## Sweatpals Segmentation Setup

### Use Waitlists as Interest Signals

When someone joins a waitlist for "San Jose Blend," they've told you they care about:

- The Blend concept specifically
- The San Jose location specifically

In Sweatpals, create your [Email and SMS campaigns](https://help.sweatpals.com/71-email-and-sms-campaigns) and select audience: "Waitlist signups for \[Event Name]." These people get first access with exclusive pricing.

### Segment by Event Attendance

Target past attendees when announcing the next iteration: "Oakland Blend attendees" get messaged about the next Oakland date. They've already experienced it and are most likely to return.

Don't message San Francisco attendees about Oakland events unless they're within 20 minutes—respect that location matters.

### Leverage Geographic Tags

Sweatpals captures location data during signup. [Target your Audience](https://help.sweatpals.com/71-email-and-sms-campaigns#audience-targeting) when expanding: message Bay Area members about new local events, but don't spam LA members about San Francisco dates unless it's a flagship event worth traveling for.

### Event Type Segmentation

Gabriel at [Over the Top](https://www.sweatpals.com/host/overthetopxp) hosts multiple event types: The Blend (coffee & R\&B), fitness events, dinner series, and ski trips. Someone who attends fitness events might not care about the dinner series.

Create campaigns targeting:

- "Blend attendees" for the next Blend
- "Tahoe ski trip waitlist" for ski-related updates
- "Fitness event attendees" for workout-focused events

## Advanced Targeting with Questionnaires

### Collect Strategic Data

During ticket purchase, Gabriel at [Over the Top](https://www.sweatpals.com/host/overthetopxp) asks questions like:

- "Do you plan to ski in the next 6 months?" (for ski trip targeting)
- "What's your preferred workout style?" (for fitness event segmentation)
- "Which neighborhood are you based in?" (for location-specific targeting)

This data lives in Sweatpals and becomes ammunition for future segmentation.

### Build Sponsor-Ready Segments

When pitching Rivian (electric vehicle brand), Gabriel at [Over the Top](https://www.sweatpals.com/host/overthetopxp) could target:

- Members who answered "considering electric vehicle" in questionnaires
- Attendees of sustainability-focused events
- High-income demographic from Sweatpals data

This makes partnerships more valuable—you're not just offering "our audience," you're offering "our environmentally-conscious, high-income audience in the Bay Area."

## Campaign Execution Strategy

### The Tiered Announcement Approach

Gabriel's rollout for new events at [Over the Top](https://www.sweatpals.com/host/overthetopxp):

**Day 1: Waitlist/VIP early access**

- **Audience:** People who specifically requested this event
- **Offer:** Aggressive early bird ($20 vs. $35 regular)
- **Message:** "You asked for it—here's your exclusive first access"

**Day 3: Past similar event attendees**

- **Audience:** Attended previous Blend events
- **Offer:** Standard early bird ($25)
- **Message:** "You loved it last time—we're doing it again"

**Day 5: General community**

- **Audience:** Full email list
- **Offer:** Regular pricing ($35)
- **Message:** "Final spots available—\[X] already registered"

This approach maximizes revenue (early committed attendees get the best price), rewards loyalty (past attendees get preference), and protects list health (casual subscribers see fewer messages).

### Location-Specific Campaigns

When Gabriel at [Over the Top](https://www.sweatpals.com/host/overthetopxp) hosts events in multiple cities, he creates separate campaigns:

- "Oakland Blend next week" → Only Oakland-area members
- "San Jose Blend selling fast" → Only San Jose-area members
- "Tahoe ski weekend" → Members who've attended travel events

Result: Higher relevance, lower unsubscribes, better conversion.

## Membership Segmentation

### Member vs. Non-Member Messaging

Gabriel's members at [Over the Top](https://www.sweatpals.com/host/overthetopxp) get free admission to recurring events. His campaigns differ:

**To members:**

:::BlockQuote
**Subject:** Your Next Free Event: The Blend Returns

As a member, you're already in—just RSVP: 📅 \[Date & Time] 📍 \[Location]

See you there (your wallet stays closed).
:::

**To non-members:**

:::BlockQuote
**Subject:** The Blend Returns: Early Bird $20

Tickets on sale now: $20 early bird, $35 GA

Or join membership ($30/month) and get this + all future Blends free.
:::

This prevents member confusion ("Why am I being asked to buy tickets?") while creating upgrade opportunities for non-members.

## Real Results

**Before segmentation:**

- Blasted 5,000 people per event
- Open rate: \~15%
- Unsubscribes: High
- Conversion: \~2%

**After segmentation:**

- Messaged 400 targeted people per event
- Open rate: \~40%+
- Unsubscribes: Minimal
- Conversion: \~25%

**Gabriel's San Jose example:** 300 waitlist signups → targeted campaign → 90 tickets sold in 3 hours = 30% conversion rate.

## Common Mistakes

- **Don't create too many segments initially**—start with location and event type
- **Don't assume** someone who attended once wants everything you offer—let them tell you through their actions
- **Don't forget to segment members separately** or they'll get confused seeing ticket prices for events they get free

## Your Action Plan

**Week 1:** Review your last 5 campaigns—were they targeted or blasted? Identify opportunities for segmentation.

**Week 2:** Set up waitlists for upcoming events to capture interest signals. Add 1–2 strategic questions to ticket questionnaires.

**Week 3:** Create your first segmented campaign in Sweatpals targeting past attendees of similar events.

**Week 4:** Compare open rates and conversion against previous blast campaigns. Refine segments based on results.

Smart segmentation isn't about sending fewer emails—it's about sending the right emails to the right people. Gabriel at [Over the Top](https://www.sweatpals.com/host/overthetopxp) sends just as many campaigns as before, but they're targeted, relevant, and convert at 10× the rate.

[title] Co-Hosting: How You Can Turn Solo Events into a Multi-City Movement
[path] Feature Guides/

# Co-Hosting: How You Can Turn Solo Events into a Multi-City Movement

**Stop limiting your events to your local community. The most successful Sweatpals hosts discovered they were missing potential members—until strategic co-hosting unlocked nationwide reach. This guide reveals how top hosts transformed single-city events into multi-market phenomena, tripling attendance while building powerful partnerships.**

## The 3x Growth Discovery That Started Everything

Jessica, a Miami yoga instructor, struggled to fill her 20-person sunset beach sessions. Her breakthrough came when she partnered with Alex, a San Diego wellness coach, for a simultaneous bi-coastal "Sunset Intentions" event.

The magic happened when they realized they weren't just sharing audiences—they were creating a movement. Jessica's Miami community felt connected to Alex's San Diego participants through live updates, shared hashtags, and synchronized experiences.

Results: Jessica's solo events averaged 12 attendees. Her co-hosted events averaged 38 attendees per location, with participants from both cities joining future events regardless of location.

Within eight months of strategic co-hosting, Jessica expanded from Miami-only events to hosting in 12 cities across the US, with local partners in each market.

The difference? She stopped thinking locally and started building a network.

## The Hidden Power of Cross-Market Collaboration

### Why Your Single-City Events Are Missing Out On A Potential Audience

You might have the perfect event format, but limiting yourself to one market caps your growth potential. Here's what successful co-hosts discovered:

**The Audience Multiplication Effect**

- Your community + their community = exponential reach
- Cross-pollination creates stronger, more diverse events
- Shared marketing amplifies both brands
- Geographic expansion happens naturally through partnerships

**The Credibility Boost**

- Two established hosts = instant authority
- Attendees trust collaborative events more
- Reduces individual marketing burden
- Creates anticipation through combined followings

**Real Host Data:** "My Austin bootcamp maxed out at 25 regulars. When I started co-hosting with partners in Dallas, Houston, and San Antonio, we created a 'Texas Transformation Tour.' Now I have 200+ people across four cities, and attendees travel between locations for special events." - Marcus, Austin Host

## Co-Hosting Mastery: Strategic Partnership Types

### 1. The Geographic Expansion Model

**Cross-City Partnerships**

Transform your local success into regional dominance through strategic city partnerships.

**Strategic City Selection:**

&#x20;🌎 **Same Time Zone:** Synchronize live events and marketing
&#x20;🏙️ **Similar Demographics:** Ensure audience compatibility
&#x20;✈️ **Travel Corridors:** Choose cities with frequent travel between them
&#x20;📱 **Market Gaps:** Partner where your expertise is needed

**Power Move:** Create "sister city" events where participants can attend in either location, building a travel-friendly community.

### 2. The Brand Collaboration Strategy

**Complementary Expertise Partnerships**

Combine different specialties to create unique, comprehensive experiences.

**Winning Combinations:**

- **Yoga + Nutrition:** Holistic wellness approach
- **Fitness + Mindfulness:** Complete transformation programs
- **Dance + Strength:** Creative fitness fusion
- **Outdoor + Recovery:** Adventure wellness experiences

**The Collaboration Sweet Spot:** Partner with hosts whose expertise complements (not competes with) yours. A strength coach + flexibility expert = unbeatable combination.

### 3. The Creator Economy Approach

**Influencer and Content Creator Partnerships**

Leverage creators' audiences while providing them with real-world event experience.

**Strategic Creator Partnerships:**&#x20;

&#x20;📸 **Micro-Influencers (1K-10K followers):** High engagement, local influence
&#x20;🎥 **Content Creators:** Bring storytelling and documentation skills
&#x20;📝 **Bloggers/Podcasters:** Provide educational content and credibility
&#x20;🌟 **Lifestyle Influencers:** Attract aspirational audience

**Partnership Gold:** Wellness bloggers who've never hosted in-person events but have engaged audiences eager for real-world connection.

## The Strategic Partnership Framework

### Finding Your Perfect Co-Host Match

**The Compatibility Assessment:**

**Audience Alignment (40% weight)**

- Do their followers engage with wellness content?
- Are demographics compatible (age, interests, location)?
- Is there audience overlap without complete duplication?

**Professional Credibility (30% weight)**

- Do they have consistent posting and engagement?
- Are their previous events well-received?
- Do they communicate professionally and reliably?

**Geographic Strategy (20% weight)**

- Can you create logical event circuits?
- Are there travel opportunities between markets?
- Do time zones work for synchronized events?

**Growth Potential (10% weight)**

- Are they actively growing their community?
- Do they have expansion goals that align with yours?
- Are they open to long-term partnership?

## Advanced Co-Hosting Strategies

### The Revenue Sharing Framework

**The 50/50 Split Model**&#x20;

- Best for: Equal contribution partnerships
- Both hosts contribute equally to marketing, content, and logistics
- Revenue split equally regardless of tracking link performance
- Ideal for established partnerships with proven compatibility

**The Contribution-Based Model**&#x20;

- Best for: Partnerships with different strength levels
- Track individual marketing effectiveness through unique links
- Split revenue based on actual contribution percentages
- Rewards hosts who drive more registrations

**The Host + Amplifier Model**&#x20;

- Best for: Creator partnerships
- Primary host handles logistics and gets majority revenue (60-70%)
- Amplifier provides audience and content for smaller percentage (30-40%)
- Clear role division prevents overlap and confusion

### Creating Event Circuits and Series

**The Circuit Strategy**

- Design events that participants can attend in multiple cities
- Create "passport" system with discounts for multi-city attendance
- Build anticipation for next city announcement
- Develop loyal traveling community

**The Series Approach**

- Break large topics into multiple sessions across different cities
- Each session builds on previous cities' content
- Creates FOMO and encourages multi-city participation
- Allows for deeper relationships and higher lifetime value

### Cross-Promotion Mastery

**The Content Collaboration Calendar**

- **Week 1:** Each host introduces their partner to their audience
- **Week 2:** Joint content creation (Instagram Live, shared posts)
- **Week 3:** Behind-the-scenes collaboration content
- **Week 4:** Event launch with coordinated promotion

**The Audience Bridge Strategy**

- Create exclusive content for partner's audience
- Provide value before asking for anything
- Share expertise that complements their content
- Build genuine relationships, not just promotional exchanges

## Common Co-Hosting Mistakes to Avoid

### The Partnership Pitfalls

**Mistake 1: Unequal Effort Expectations** Solution: Define roles, responsibilities, and time commitments upfront

**Mistake 2: Revenue Confusion** Solution: Agree on payment structure before launching any marketing

**Mistake 3: Audience Mismatch** Solution: Test compatibility with smaller collaborative content first

**Mistake 4: Communication Breakdown** Solution: Establish regular check-ins and clear communication channels

**Mistake 5: Brand Conflicts** Solution: Ensure brand values and messaging align before partnering

### Red Flags to Watch For

**Warning Signs:**

- Inconsistent communication or delayed responses
- Reluctance to share audience insights or metrics
- Previous partnership complaints or conflicts

## Step 3: Follow Up

**Follow-Up Protocol:**

- If you don't hear back, follow up **daily** until you receive a response.&#x20;
- If you have a direct contact at Mindbody, reach out to them directly to expedite the process.&#x20;

## Step 4: Confirm Data Export & Encrypted Payment Info

Once Mindbody responds to your request, they may ask you to confirm:

**1. Delivery Date for Your Data**

- Choose a weekday (Monday–Friday)&#x20;
- Must match the date requested in your initial email (R+40, at least 7 business days before go-live)&#x20;

**2. Encrypted Credit Card Data**

- All exported credit card data must be encrypted&#x20;
- Mindbody will request the name of your new payment processor and their PGP key&#x20;

### How to Provide the PGP Key

1. Stripe will generate a PGP key and send it **directly to Sweatpals**&#x20;
2. Sweatpals will forward that Stripe-generated email to you&#x20;
3. **Forward that exact email (unchanged) to Mindbody** in your reply&#x20;

**⚠️ Warning:** Do not generate or copy a PGP key yourself. Forwarding the Stripe-generated email ensures Mindbody uses the correct encryption details.

### Copy-Paste Response Template (Fill in Date Only)

:::Paragraph{indent="1"}
Yes, we are requesting encrypted credit card data.

The requested delivery date is \[`SAME DATE AS INITIAL EMAIL – R+40`].

Our new payment processor is Stripe. I have forwarded the Stripe-generated PGP key email separately for secure encryption.

Please let us know if any additional verification or documentation is required.

:::

## Additional Notes

- Mindbody may require additional identity verification due to the sensitivity of the data&#x20;
- Respond promptly to any verification requests to avoid delays&#x20;
- Ensure the delivery date exactly matches the date stated in your original request email&#x20;

[title] Waitlists: The Waitlist-to-Sellout Formula
[path] Feature Guides/

## Overview

Validate demand before committing resources by building a waitlist that guarantees sellout. Gabriel used this to expand [Over the Top](https://www.sweatpals.com/host/overthetopxp)’s event series, The Blend, from Oakland to San Jose, collecting 300 waitlist signups in 2 days and selling out in 3 hours.

## When to Use This Play

- Testing a new geographic market
- Launching an experimental event concept
- You have limited budget and can't risk low attendance
- You want guaranteed sellout, not hoping and praying

## The Psychology

Waitlists trigger commitment escalation (once someone gives their email, they're invested), social proof ("300 people signed up" validates the event), and FOMO amplification (knowing others want in makes people want it more). You're also building a pre-qualified audience who've already raised their hand as interested.

## The Strategy

**Test Demand Through Content** Before announcing a new market, post content from existing successful events. Gabriel posted Blend videos from Oakland showing crowds singing and dancing. Comments poured in: "Why doesn't San Jose have this?" This is your signal—don't guess, let your audience tell you where demand exists.

Make a direct ask: "San Jose: Would you come to a coffee & R\&B day party?" Use Instagram poll stickers and monitor comment enthusiasm. If you get 50+ engaged responses, move forward.

**Sweatpals Waitlist Setup** Create your event fully in Sweatpals (description, location, pricing), but set the ticket sales start date 5-7 days in the future. Enable the [waitlist feature](https://help.sweatpals.com/32-class-bookings-and-capacity#UzYii)—this automatically displays "Sign up for early access" instead of purchase buttons.

Configure the embed on a dedicated landing page with:

- Event concept explanation with photos from past events
- Specific date, time, location
- "Limited capacity" messaging
- Clear CTA: "Get early access when tickets drop"
- Social proof counter: "\[X] people already on the list"

**Drive Waitlist Signups** Gabriel's TikTok approach: Post compelling event clips, pin a comment saying "San Jose wants this—link in bio for early access," and reply to every "where is this?" comment with the waitlist link.

Run targeted Facebook/Instagram ads to local zip codes. Creative formula: carousel of event photos + "Coming to \[City]" + "Join 200+ on the waitlist" + direct link to your landing page embed.

Update your social bio links to point to the waitlist page and post daily countdown content: "3 days until San Jose Blend waitlist opens."

**The Conversion: Waitlist to Tickets** When you hit your target number (Gabriel's threshold was 300 signups), announce ticket sales. Send both SMS and email through Sweatpals campaigns:

:::BlockQuote
Subject: 🎉 You're IN: San Jose Blend Tickets Now Available

You asked for it—we're bringing The Blend to San Jose.

As a waitlist member, you get first access:

⏰ $20 early bird for 24 hours only (reg $35)

\[X] people are on this list. These will sell fast. Grab yours → \[Link]
:::

The key insight: You're not emailing cold leads, you're emailing people who already demonstrated interest. Gabriel's conversion rate was high enough to sell out 90 tickets in 3 hours.

Use the limited time offer feature within Sweatpals for the waitlist-exclusive pricing. Set it to expire in 24-48 hours, then open to general public at full price (if any tickets remain—Gabriel's didn't).

**Create Post-Signup Momentum** After someone joins the waitlist, they receive an auto-confirmation from Sweatpals. Follow up with a campaign 2-3 days later:

:::BlockQuote
Subject: San Jose Blend Update: \[X] People Waiting

The response has been incredible—\[X] people on the waitlist.

Tickets drop \[Day/Date] at \[Time]

Capacity is limited to \[Number]

Set a reminder. This will sell out.
:::

This creates urgency and keeps you top-of-mind. Post social proof content: "250 people signed up in 48 hours—San Jose wants The Blend" with screenshot of waitlist numbers (blur out names).

## Real Results

Gabriel's San Jose expansion:

- Posted Oakland event content on TikTok/Instagram
- Comments: "When are you coming to San Jose?"
- Created waitlist landing page with Sweatpals embed
- Drove traffic through organic social posts
- Result: 300 waitlist signups in 2 days
- Launched tickets with $20 early bird (limited time offer)
- Sold out 90-person venue in 3 hours
- Now it's part of recurring monthly rotation

## Advanced Tactics

**Segment Your Waitlist** Use Sweatpals' audience targeting to message waitlist members separately from general list. This lets you offer exclusive pricing that rewards early commitment without devaluing tickets to everyone else.

**Test Multiple Markets Simultaneously** Create separate waitlist landing pages for different cities. Drive city-specific traffic through geo-targeted ads. Commit to whichever market hits threshold first—Gabriel could have tested San Jose, Sacramento, and San Francisco simultaneously.

**Use Waitlist Data for Venue Sizing** If 300 people join the waitlist, book a 100-150 person venue (30-50% conversion is realistic). This ensures sellout while creating legitimate scarcity. Gabriel's 300 waitlist signups supported his 90-person coffee shop capacity with room to spare.

## Common Mistakes

Don't open tickets too early—build tension with countdown content first. Don't blast your entire email list—segment to waitlist members for exclusive access. Don't underprice too aggressively—the waitlist validates demand, so you can charge appropriately.

## Your Action Plan

**Days 1-3:** Post content from existing events, gauge interest in new market through comments and polls.

**Days 4-5:** Create event in Sweatpals with future start date, enable waitlist, embed on landing page, announce waitlist is open.

**Days 6-12:** Drive signups through organic social, paid ads to local market, daily countdown content.

**Day 13:** Send campaigns to waitlist with exclusive early bird pricing using limited time offer feature.

**Day 14-15:** Monitor sales, end early bird when capacity hits, open any remaining tickets at full price.

This formula eliminates risk by validating demand before you commit to venues, vendors, or marketing spend. You're not hoping people show up—you're strategically building a sold-out event from a qualified audience.

Stop wasting 60% of your marketing effort on channels that bring zero bookings. Most successful Sweatpals hosts discovered they were pouring hours into the wrong platforms—until tracking links revealed the truth. This guide shares proven strategies from hosts who doubled their attendance by following their data, not their assumptions.

## The $10,000 Discovery That Changed Everything

Sarah, a Denver yoga instructor, spent $300 monthly on Facebook ads because "everyone said Facebook was essential." Her tracking data revealed something shocking: her handwritten flyers at a local coffee shop brought in 4x more committed members at 1/10th the cost.

Within three months of reallocating her efforts based on tracking data, she grew from 15 to 45 regular members—adding over $10,000 in monthly revenue.

**The difference? She stopped guessing and started tracking.**

## The Hidden Psychology of Channel Performance

### Why Your Best-Looking Channel Might Be Your Worst Performer

Instagram might give you 500 likes, but tracking often reveals a harsh truth: those heart-tappers rarely become paying participants. Here's what top hosts discovered:

**The Engagement Illusion**

- High social media engagement ≠ high conversion
- Channels requiring more effort (QR code scanning, typing URLs) often bring more committed participants
- People who take multiple steps to find you are pre-qualified for commitment

**Real Host Data:**

:::BlockQuote
"My TikTok videos got 10K views but zero bookings. My email list of 200 people brings 15 participants to every event. I was optimizing for vanity, not value." - Marcus, Austin Host
:::

## Channel Mastery: What Actually Works

***

### 1. The QR Code Revolution

::Iframely{originalUrl="https://vitally-email-assets-sweatpals.s3.us-east-2.amazonaws.com/GIF3.gif" embedUrl="https://vitally-email-assets-sweatpals.s3.us-east-2.amazonaws.com/GIF3.gif" html="<div style=&#x22;max-width: 720px;&#x22;><div style=&#x22;left: 0; width: 100%; height: 0; position: relative; padding-bottom: 66.6667%;&#x22;><iframe src=&#x22;https://cdn.iframe.ly/api/iframe?url=https%3A%2F%2Fvitally-email-assets-sweatpals.s3.us-east-2.amazonaws.com%2FGIF3.gif&key=4c0a82cc3c6a5d4fcd08607ae370bd79&#x22; style=&#x22;top: 0; left: 0; width: 100%; height: 100%; position: absolute; border: 0;&#x22; allowfullscreen></iframe></div></div>"}

**Why Physical Still Beats Digital**

Top-performing hosts report QR codes on flyers outperform digital links 3:1. The secret? Location psychology.

**Strategic QR Placement Map:**

- ☕ **Coffee shops**: 12% conversion rate (best for morning events)
- 🧘 **Yoga studios**: 8% conversion rate (best for wellness events)
- 💪 **Gyms**: 3% conversion rate (high traffic, low commitment)
- 📚 **Libraries**: 15% conversion rate (hidden gem for mindful movement)

**Power Move:** Create location-specific tracking links to identify your goldmine spots. One host discovered a single bulletin board at a health food store brought 30% of their participants.

### 2. The Social Media Reality Check

**Platform Performance Truths from 100+ Hosts:**

| Platform              | What Works                           | What Doesn't               | Conversion Sweet Spot |
| --------------------- | ------------------------------------ | -------------------------- | --------------------- |
| **Instagram Stories** | Time-sensitive offers, behind-scenes | Polished feed posts        | 24-hour flash promos  |
| **LinkedIn** | Professional wellness angles | Casual fitness content | Corporate wellness |
| **Facebook Groups** | Local community groups | Paid ads to cold audiences | Neighborhood groups |
| **Email** | Personal stories + clear CTAs | Mass broadcast style | Segmented campaigns |

**The Instagram Stories Secret:** Stories posted between 6-7 AM convert 4x better than evening posts. Early birds are action-takers.

### 3. Paid Advertising: The $500 Test Framework

***

::Iframely{originalUrl="https://vitally-email-assets-sweatpals.s3.us-east-2.amazonaws.com/GIF4.gif" embedUrl="https://vitally-email-assets-sweatpals.s3.us-east-2.amazonaws.com/GIF4.gif" html="<div style=&#x22;max-width: 720px;&#x22;><div style=&#x22;left: 0; width: 100%; height: 0; position: relative; padding-bottom: 66.6667%;&#x22;><iframe src=&#x22;https://cdn.iframe.ly/api/iframe?url=https%3A%2F%2Fvitally-email-assets-sweatpals.s3.us-east-2.amazonaws.com%2FGIF4.gif&key=4c0a82cc3c6a5d4fcd08607ae370bd79&#x22; style=&#x22;top: 0; left: 0; width: 100%; height: 100%; position: absolute; border: 0;&#x22; allowfullscreen></iframe></div></div>"}

Before spending thousands, run this proven test sequence:

**Week 1: Creative Testing ($100)**

- Create 3 different ad angles
- Track each with unique links
- Measure cost per booking, not per click

**Week 2: Audience Testing ($200)**

- Take your winning creative
- Test 5 different audience segments
- Track participant quality, not just quantity

**Week 3: Scale or Stop ($200)**

- Double down on winners
- Cut losers immediately
- Track lifetime value, not just first booking

**Case Study:**

:::BlockQuote
"I discovered ads targeting 'parents of young children' for my Saturday morning bootcamp brought participants who attended 80% of events. Generic 'fitness enthusiast' targeting brought one-timers. Same ad spend, 5x the revenue." - Jennifer, Phoenix Host
:::

## The Partnership Profit Matrix

***

### Influencer Reality vs. Micro-Community Power

**The 100K Follower Myth** One host's tracking data comparing influencer partnerships:

- Fitness influencer (100K followers): 2 bookings
- Local mom blogger (800 followers): 18 bookings
- Neighborhood Facebook admin (2K members): 25 bookings

**Why? Depth beats reach.** Micro-communities have trust and relevance that massive audiences lack.

### Strategic Partnership Tracking

**The Triple Win Framework:**

1. **You track their impact** (unique link for partner)
2. **They track their value** (share conversion data)
3. **Together you optimize** (test different approaches)

**Partnership Gold:** Coffee shop partnerships where they share your link with every morning coffee order. One host gets 40% of participants this way.

## Advanced Tracking Strategies

***

### The Lifetime Value Revolution

Stop optimizing for first bookings. Track the full journey:

**Channel Quality Score Formula:**

- Track 90-day retention by source
- Calculate average revenue per participant
- Factor in referral generation
- Create your channel ROI ranking

**Discovery:** Email subscribers book 3x fewer first events but attend 10x more events long-term than Instagram followers.

### The Content Intelligence System

**A/B Test Everything, But Test Smart:**

**What to Test:**

- Workout focus vs. community focus
- Morning energy vs. evening wind-down
- Instructor credentials vs. participant testimonials
- Challenge language vs. supportive language

**Winning Patterns from 50+ Tests:**

- Community-focused content brings 60% better retention
- Transformation stories outperform workout descriptions 3:1
- "Join us" outperforms "Sign up" by 25%
- Local references double conversion rates

### Seasonal Intelligence Tracking

**Create Year-Round Success:**

- January: "New Year New You" angles tank (oversaturated)
- January: "Ease back in after holidays" wins
- Summer: Indoor events need 3x more promotion
- December: "Stress relief" messaging converts 2x better

## The Data-Driven Decision Framework

***

:::hint{type="success"}
### Weekly Tracking Ritual (15 minutes)

**Every Monday:**

1. Check last week's conversion rates by channel
2. Identify your top and bottom performer
3. Shift 25% effort from bottom to top
4. Document one learning

**Monthly Strategy Session (1 hour):**

1. Calculate ROI by channel (time + money invested vs. revenue)
2. Identify trending patterns
3. Plan next month's channel mix
4. Set up new tests
:::

### The 80/20 Marketing Revolution

**Most hosts discover:**

- 80% of bookings come from 20% of efforts
- The 20% is rarely what you'd guess
- Tracking reveals your true 20%
- Focus there = exponential growth

## Red Flags: When Good Channels Go Bad

***

**Warning Signs to Track:**

- Conversion rate drops 50%+ suddenly
- New participants ghost after one event
- Cost per acquisition doubles
- Engagement stays high but bookings tank

**Common Culprits:**

- Algorithm changes killed organic reach
- Audience saturation hit
- Competitor entered your space
- Your message-market fit shifted

**Solution:** Diversify before disaster. Never depend on one channel for >40% of bookings.

:::hint{type="success"}
## Your 30-Day Tracking Transformation

### Week 1: Baseline Reality

- Implement tracking on all current channels
- No changes, just observe
- Document your assumptions

### Week 2: First Optimization

- Shift 25% effort from worst to best performer
- Create location-specific QR campaigns
- Test one new channel

### Week 3: Content Intelligence

- A/B test your top channel's messaging
- Try community vs. workout focus
- Track quality, not just quantity

### Week 4: Scale and Systematize

- Double down on winners
- Eliminate consistent losers
- Create your personal playbook

**Success Metric:** Hosts following this system average 40% attendance growth in 30 days.
:::

:::hint{type="info"}
## The Million-Dollar Mindset Shift

Stop thinking like a fitness instructor. Start thinking like a growth strategist.

**Old Way:** "I'll promote everywhere and hope people come" **New Way:** "I'll invest where data proves ROI"

**Old Way:** "More followers must mean more bookings" **New Way:** "Quality connections beat quantity every time"

**Old Way:** "I need to be on every platform" **New Way:** "I need to master my highest-converting channels"
:::

## Your Next Action

***

The most successful Sweatpals hosts share one trait: they let data drive decisions. Your intuition about what works is probably wrong. Your tracking data never lies.

:::hint{type="success"}
**Start here:**

1. Set up tracking links for your next event
2. Name them strategically (Channel-Campaign-Week)
3. Replace all existing links
4. Check back in 7 days
5. Prepare to be surprised
:::

Remember: Every hour you spend on low-converting channels is an hour stolen from activities that could double your community.

**The question isn't whether to track. It's whether you're ready to face the truth about your marketing.**

[path] Playbooks/Operations Playbooks/

## Overview

The Stripe Standard Migration allows your members' payment methods to transfer automatically — no action required from them. Most migrations complete in 3-5 weeks.

:::hint{type="warning"}
**Please Note:&#x20;**&#x43;omplex accounts with particularly high volume or special billing arrangements may require additional time.
:::

## Before You Start

### What You'll Need

- Login credentials for your Stripe account
- Access to export customer data from Stripe
- List of current membership tiers and pricing
- Member contact information (if not in Stripe)

### What Your Members Experience

- ✅ Seamless transition with no action required
- ✅ Payment methods transfer automatically
- ✅ Same billing date and amount (unless you choose to change)
- ✅ No service interruption

## Step-by-Step Migration Process

### Step 1: Initial Coordination with Sweatpals

**What You Do:** Share your current membership structure with your Success Manager:

- Member list and billing rates
- Subscription tiers and pricing
- Current billing dates/schedules
- Any special pricing arrangements

**What Sweatpals Does:**

- Provides the proper Stripe account ID for the data transfer
- Coordinates your migration timeline
- Sets up your community structure on Sweatpals
- Prepares to receive your member data

:::hint{type="info"}
**🗓️ Timeline:** \< 1 week
:::

### Step 2: Stripe Data Migration

**What Happens:** You'll use Stripe's secure customer data copy feature to transfer member payment information to Sweatpals.

::Iframely{originalUrl="https://demos.sweatpals.com/demo/cmgi46hvn00aoxt0i86uwyjg2" embedUrl="https://demos.sweatpals.com/demo/cmgi46hvn00aoxt0i86uwyjg2" title="Stripe: Initiating Stripe Membership Migration" html="<div style=&#x22;left: 0; width: 100%; height: 0; position: relative; padding-bottom: 56.25%;&#x22;><iframe src=&#x22;https://app.supademo.com/embed/cmgi46hvn00aoxt0i86uwyjg2&#x22; style=&#x22;top: 0; left: 0; width: 100%; height: 100%; position: absolute; border: 0;&#x22; allowfullscreen scrolling=&#x22;no&#x22; allow=&#x22;clipboard-write *; fullscreen *;&#x22;></iframe></div>"}

**How to Do It:**

1. Log into your Stripe dashboard
2. Navigate to **Customers** → **Copy customers**
3. Select all customers (or specific members migrating to Sweatpals)
4. Enter the Stripe account ID provided by our team
5. Submit the copy request

**What Gets Transferred:**

- ✅ Customer records
- ✅ Saved payment methods (cards, bank accounts)
- ✅ Payment method tokens (secure, not raw card numbers)

**What Does NOT Transfer:**

- ❌ Subscription objects
- ❌ Payment history
- ❌ Invoice records

:::hint{type="warning"}
**🔒 Security Note:** This process uses tokenization — actual card numbers are never exposed or transferred.
:::

:::hint{type="info"}
**🗓️ Timeline:** Stripe typically completes the data copy within 72 hours
:::

### Step 3: Export and Share Customer Data

Once Stripe completes the transfer, you need to export customer data for SweatPals to set up subscriptions.

::Iframely{originalUrl="https://demos.sweatpals.com/demo/cmgl1kx0e045uxn0h116jtytn" embedUrl="https://demos.sweatpals.com/demo/cmgl1kx0e045uxn0h116jtytn" title="Stripe: Exporting CSV of Membership Subscribers" html="<div style=&#x22;left: 0; width: 100%; height: 0; position: relative; padding-bottom: 56.25%;&#x22;><iframe src=&#x22;https://app.supademo.com/embed/cmgl1kx0e045uxn0h116jtytn&#x22; style=&#x22;top: 0; left: 0; width: 100%; height: 100%; position: absolute; border: 0;&#x22; allowfullscreen scrolling=&#x22;no&#x22; allow=&#x22;clipboard-write *; fullscreen *;&#x22;></iframe></div>"}

**Export from Stripe:**

1. Log into your Stripe dashboard
2. Navigate to **Customers**
3. Click "**Export**" in the top right
4. Select "**All columns**" for the export
5. Download the CSV file

**Prepare Additional Information:**

If not included in the CSV export, create a spreadsheet or document with:

- Member names&#x20;
- Phone numbers ([What if I only have emails for members, not phone numbers?](https://university.sweatpals.com/migration-faqs-and-troubleshooting#SX7IO))
- Next billing date for each member
- Any special pricing or notes

**Share with Sweatpals:**

Send the following to your Success Manager:

1. The exported CSV file from Stripe
2. Your additional member information
3. Any special instructions for billing setup

:::hint{type="info"}
**🗓️ Timeline:** \< 1 day
:::

### Step 4: Sweatpals Creates New Subscriptions

**What we do:** Once the customer data arrives in our Stripe account, we recreate each member's subscription on Sweatpals.

**We match:**

- Same pricing and billing cycle
- Same billing date (or your preferred consolidated date)
- Active subscription status

**⚡️ Result:&#x20;**&#x53;ubscriptions are ready to go live, but not yet charging members — we wait for your approval.

:::hint{type="info"}
**🗓️ Timeline:** \< 1 week
:::

### Step 5: Member Communication (Recommended)

While members don't need to take action, communication helps ensure a smooth transition.

*"Your \[Community Name] membership is moving to Sweatpals for an enhanced experience. Your payment method and billing date remain the same — no action needed from you. You'll soon receive access to \[list key features]."*

:::hint{type="info"}
**🗓️ Timeline:** Send 1-2 weeks before go-live
:::

### Step 6: Testing & Verification

Before going live, we verify:

- All subscriptions correctly configured
- Payment methods are valid and active
- Member data is accurate
- Subscription amounts & billing dates are correct

**You review and approve** before any charges process.

:::hint{type="info"}
**🗓️ Timeline:** 2-3 days
:::

### Step 7: Go Live

**Activation Day:**

- Sweatpals activates all subscriptions
- Members receive welcome emails with login information
- Billing continues on their normal schedule

**What Members Experience:**

- Immediate access to platform features
- Automatic billing on their regular date
- No service interruption

**What You Monitor:**

- Member logins and engagement
- Any support questions
- First billing cycle success

### 8. Deactivate Previous Platform

**When to Deactivate:** After memberships & billing have been successfully activated on Sweatpals

**Steps to Take:**

1. Cancel all active subscriptions in your old Stripe account
2. Stop any recurring billing
3. Export any historical data you need
4. Optional: Keep account active for historical records

## Migration Timeline Summary

## Which Migration Path Do I Need?

### Path 1: Stripe Standard Migration (3-5 weeks)

**You have your own Stripe account if:**

- You log into [stripe.com](https://www.stripe.com) directly with your own credentials
- You can view all subscriber data and payment history in your Stripe dashboard
- You control payment processing directly

:::hint{type="info"}
**Member Impact:** Payment methods transfer automatically & silently — members *won't* need to re-enter in payment details or re-opt into membership.
:::

### Path 2: Stripe Connect Migration

**You have platform-managed payments if:**

- Your current platform (e.g., Mindbody, Kajabi, Circle, PushPress, Wodify) processes payments on your behalf
- The platform collects member payments and distributes funds to you
- You don't have direct access to a Stripe dashboard with subscriber data

:::hint{type="info"}
**Member Impact:** Members will need to re-enter their payment information on Sweatpals.

[title] Verification: Getting Your Events Verified
[path] Feature Guides/

**"Is my event being seen after I publish it?"** - This is one of our most common questions from new hosts. Here's what you need to know:

## How Verification Works

New communities posting events must meet our verification standards to appear in the main feed. Until verified, your event exists but has limited visibility. Don't worry - this is a standard process that ensures quality experiences for all users.

### Common Questions:

- **"Why can't people find my event?"** - Unverified events don't appear in the main feed or search results
- **"How long does verification take?"** - Usually within 2-3 days if all requirements are met
- **"Can people still register?"** - Yes, if you share your direct event link, but organic discovery is limited

### Must-Have Elements for Verification

Get verified quickly by including:

- **Event Cover Photo** - High-quality image that stops the scroll (action shots or engaging graphics work best)
- **Complete Description** - Clear explanation of what participants can expect
- **Fitness Type Selection** - Proper category tags for searchability
- **Accurate Location** - Either full address OR state "location shared after registration" in description
- **Correct Time Zone** - Double-check your event shows the right start time

## Platform Policies

These are non-negotiable for verification:

- All signups and payments must happen through Sweatpals
- No external platform links or payment method references
- Keep your Sweatpals listing platform-exclusive

**What Happens If Something's Missing?** You'll receive a notification about what needs adjustment. Fix it quickly to get verified and visible!

## Pro Tips for New Hosts

1. **Share your direct link immediately** - Even unverified events can get registrations through direct links
2. **Double-check everything before publishing** - Complete listings get verified faster
3. **Don't panic if your event isn't immediately visible** - This is normal for new accounts
4. **Build momentum** - Once verified, your future events typically appear immediately

Events missing requirements will be flagged, but don't let this discourage you - just make the adjustments and you'll be reaching the full Sweatpals community in no time!

[title] Event Bundles: Boost Engagement and Increase Recurring Revenue
[path] Feature Guides/

# Boost Engagement and Increase Recurring Revenue: Your Event Bundle Blueprint

Your individual fitness events are successful on Sweatpals, but you're noticing a pattern: members love your classes and want to attend more, but they're hesitant about the costs adding up. Meanwhile, you're missing out on predictable revenue from your most dedicated participants.

**The solution is built right into your Sweatpals host dashboard: Event Bundles.**

## The Hidden Opportunity: Your Sweatpals Members Want More

Alex was puzzled. Her Miami pilates classes were popular on Sweatpals with great reviews and consistent bookings, but she kept hearing the same feedback: "I'd love to come to more classes, but it adds up quickly." She was also frustrated by unpredictable income—$800 one month, $400 the next.

Alex discovered she had a common problem that most successful Sweatpals hosts face: her members wanted to attend multiple events but were hesitant about individual ticket costs accumulating over time.

**This creates a lose-lose situation:**

1. **For hosts:** Unpredictable attendance and cash flow despite being popular on the platform
2. **For members:** Having to choose between events they want to attend in your community
3. **For the Sweatpals marketplace:** Lower engagement despite high interest

The breakthrough came when Alex realized her most dedicated Sweatpals members were actually being penalized for wanting to attend more events.

## The Bundle Solution: Rewarding Your Best Members

Instead of having members choose between events due to cost, Alex used Sweatpals' Event Bundles feature to create her "Summer Strong Pilates Package"—6 tickets that members could use across any of her eligible pilates events for $90 (saving participants $30 off individual pricing).

**Event Bundles solved the core challenge:**

- **For Alex:** Predictable upfront revenue from her most engaged members
- **For her members:** Meaningful savings that made attending multiple events affordable
- **For her community:** Higher engagement and stronger connections

**The results transformed her Sweatpals business:**

- 14 people purchased bundles in 48 hours through the platform
- 82% attendance rate across all sessions (vs. 55% for individual events)
- $1,260 in guaranteed revenue upfront
- Members attended 3x more events on average
- Zero complaints about cost—members felt rewarded for their commitment
- Higher visibility in Sweatpals search results due to increased engagement

**The game-changer? Event Bundles turned her best Sweatpals members into her most profitable ones while giving them the value they deserved.**

## How Event Bundles Work on Sweatpals

### The Two-Sided Solution

Sweatpals Event Bundles solve challenges on both sides of the marketplace:

**For Hosts:**

- Predictable upfront revenue instead of event-by-event uncertainty
- Better visibility in the Sweatpals marketplace through increased member engagement
- Stronger member relationships leading to better reviews and repeat bookings
- Ability to compete on value, not just individual event pricing

**For Members:**

- Meaningful savings on events they want to attend
- Flexibility to use bundle tickets across multiple events in a host's community
- Easier budgeting for their fitness goals
- Access to more events without cost anxiety

### The Simple Setup Process in Sweatpals

**Step 1: Create Your Bundle Package**

- Access Event Bundles in your Sweatpals host dashboard
- Set your bundle name (e.g., "Flexibility & Flow Package")
- Choose number of tickets to include (3-6 works best)
- Set your discounted bundle price
- Add optional time limits for urgency

**Step 2: Select Eligible Events**

- Choose which of your Sweatpals events can be accessed with bundle tickets
- Mix different class types or keep them themed
- Include both current and future scheduled events

**Step 3: Launch in the Sweatpals Marketplace**

- Bundle appears in your community marketplace on Sweatpals
- Members can discover and purchase through the platform
- They receive their ticket allocation in their Sweatpals account
- Members use bundle tickets when registering for your eligible events
- You track usage and revenue through your Sweatpals dashboard

### The Member Value Perspective

Unlike traditional individual event pricing that can feel prohibitive for frequent attendees, Event Bundles reward your most dedicated members:

- **Cost savings:** Members get more value for their fitness investment
- **Flexibility:** Use tickets when their schedule allows across eligible events
- **Commitment support:** Easier to maintain consistency when costs are manageable
- **Community building:** Bundle members tend to form stronger connections

*"My 'Flexibility & Flow' bundle runs every 6 weeks on Sweatpals. I include 5 tickets that work for any of my yoga or pilates classes. My regular Sweatpals members love not having to worry about individual costs adding up, and I love the predictable income."* - Rachel, Phoenix Host

## Building Your Bundle Strategy

### Identify Your Multi-Event Sweatpals Members

Look at your Sweatpals analytics to identify members who:

- Attend multiple events per month in your community
- Have attended various types of your events
- Leave positive reviews and engage with your content
- Show consistent booking patterns over time

**These Sweatpals members are your bundle market—they already want what you're offering.**

### The Bundle Opportunity Assessment

**Review your Sweatpals host dashboard:**

- Which members attend 3+ events per month?
- What feedback do you get in reviews about event costs?
- Which event combinations do people naturally book together?
- Who are your most engaged community members on the platform?

**Your frequent Sweatpals attendees are telling you they want bundles through their behavior.**

### The Member-First Bundle Framework

**Step 1: Solve the Cost Barrier**

- **Value Bundles:** "Complete Fitness Package" (mix of your different event types)
- **Frequency Bundles:** "Weekly Warrior" (for members who want to attend multiple times per week)

**Step 3: Build Community**

- Bundle members often form the core of your community

- Member saves: $15-20 (meaningful but not desperate)

**Example Bundle Structures:**

| Bundle Type | Tickets   | Individual Cost | Bundle Price | Savings |
| ----------- | --------- | --------------- | ------------ | ------- |
| **Starter** | 3 tickets | $60             | $45          | $15     |
| **Popular** | 5 tickets | $100            | $75          | $25     |
| **Premium** | 8 tickets | $160            | $120         | $40     |

**Old Thinking:** "People should pay full price for each event" **New Thinking:** "Frequent attendees should be rewarded, not penalized"

**Old Model:** "Individual events are separate transactions" **New Model:** "Event Bundles build deeper member relationships and predictable revenue"

## The Truth About Event Bundles

Event Bundles aren't about replacing individual events—they're about giving your most dedicated members the value they deserve while creating predictable revenue for you.

**Individual events remain important for:**

- New members trying your community
- Occasional attendees with limited schedules
- Special workshops or one-time events
- Members who prefer single-event flexibility

**Event Bundles excel for:**

- Members who attend multiple events per month
- Creating predictable revenue streams
- Building stronger community connections
- Rewarding your most loyal participants

The most successful Sweatpals hosts understand that Event Bundles complement individual events by serving different member needs and creating win-win scenarios.

**Your next step:** Log into your Sweatpals host dashboard, navigate to Event Bundles, and create your first package for your most engaged members. They're already showing you they want more—give them an affordable way to get it through the platform.

Remember: Every day you delay creating bundles is a day your most dedicated Sweatpals members are paying more than they should for their fitness journey.

**The question isn't whether to offer individual events or bundles. It's whether you're ready to reward your best Sweatpals members while building sustainable revenue.**

[title] Recurring Events: The Recurring Event Growth Engine
[path] Feature Guides/

## Overview

Build a signature recurring event that becomes your community's heartbeat and primary growth driver. Gabriel from [Over the Top](https://www.sweatpals.com/host/overthetopxp) used this strategy with "The Blend" coffee & R\&B series to sell out 6 of 7 events within 24 hours while building a loyal community base.

## When to Use This Play

- You're establishing presence in a new market
- You want predictable monthly revenue and engagement
- You need consistent content for social media growth
- You're building toward larger flagship events

## The Strategy

**Start Simple, Scale Smart** Identify what's missing in your market. Gabriel noticed the Bay Area lacked daytime social events with R\&B music—a concept thriving in NYC and LA. Design a repeatable format with fixed elements (DJ set, venue type) and variable elements (contests, seasonal themes, partnerships).

Price low initially ($10-15) to remove barriers. Your first events aren't about profit—they're about proving demand and capturing killer content.

**Sweatpals Setup for Maximum Urgency** Create your event with a single ticket tier at your target price ($30). Enable "Limited Time Offer" and set an aggressive discount (50% off works—Gabriel used $30 → $15). Set your time window to 24-48 hours once the concept is proven.

Add 1-2 strategic questions in your event questionnaire: "How did you hear about us?" tracks marketing effectiveness, while "What's your go-to coffee order?" provides valuable data when pitching coffee brand sponsors later.

Configure the embed on your website to maintain brand consistency. Direct all traffic to YOUR site, not directly to Sweatpals—this allows Facebook pixel retargeting.

**Launch with Urgency** Send your first campaign through Sweatpals:

:::BlockQuote
Subject: ⏰ 48 Hours Only: Early Bird Tickets

For the next 48 hours: $15 (regularly $30) ✓ Live DJ spinning R\&B classics

✓ $300 sing-along contest ✓ Professional photos included Only \[X] spots → \[Link]
:::

Monitor your dashboard closely. When early bird capacity hits, manually end the limited offer and create secondary urgency: "Early bird SOLD OUT → GA tickets now available."

**Event Day = Marketing Day** Your event IS your marketing for next month. Film constantly: arrival energy, peak moments, contests, attendee testimonials. Post to Instagram stories every 30 minutes and clip best moments for TikTok immediately.

Create "main character moments" people want to share. Gabriel's $300 sing-along contest goes viral because it's participatory—people comment "me and my toilet singing like this" and those commenters become next month's attendees.

Send a thank you campaign via Sweatpals within hours of the event ending, including photos and announcing the next date.

**Build Momentum Monthly** Announce next month's event ONE week after the previous one. Post content throughout the week (highlights, standout clips, FOMO content, testimonials) and create the next event in Sweatpals by copying your setup.

Test one new element per event: start with DJ + Coffee, add photo booth, then contest, then sponsor activations. Gabriel went from $10 to $35 tickets over six months by adding partner value (free espresso martini tastings, coffee samples) that justified higher pricing.

**Scale Through Partnerships** After 3-4 successful events, approach local brands with Sweatpals data: attendance numbers, demographics, social reach. Partners subsidize the experience (they provide coffee, activities) while getting brand visibility and content. You raise ticket prices to reflect added value.

**Geographic Expansion** Test new markets through social proof. When Gabriel's Oakland content went viral, comments asked "When are you coming to San Jose?" He created a waitlist (see Playbook 2), got 300 signups in 2 days, and sold out in 3 hours.

**Membership Integration** Once established (6+ events), enable [membership](https://help.sweatpals.com/51-membership-overview) in Sweatpals. Price it so members break even after 1-2 events: if single tickets are $30, charge $30/month for membership. Members get free admission to all recurring events plus priority access to flagship events.

## Real Results

Gabriel's numbers since October:

- 6 of 7 events sold out within 24 hours
- Pricing scaled from $10 to $35 with partner integration
- Eliminated $300+/month in platform fees
- Event creation time: 5 minutes in Sweatpals
- Built community of thousands for larger flagship events

## Common Pitfalls

Don't start too big—Gabriel began in coffee shops (90 capacity), not large venues. Avoid multiple ticket tiers that confuse buyers; use single tickets with limited time offers instead. Maintain consistent monthly scheduling (third Saturday, first Friday—pick a pattern). Never skip content capture—budget for photography or designate a team member.

## Your Action Plan

**Week 1-2:** Research your market gap and design your repeatable format. Set up in Sweatpals with limited time offer configured.

**Week 3:** Launch with aggressive early bird pricing ($10-15). Post countdown content. Drive traffic to your website embed.

**Week 4:** Monitor sales, end limited offer at capacity, push full-price tickets with scarcity.

**Event Day:** Film everything, post real-time, create shareable moments, send same-day thank you campaign.

**Week After:** Post content daily and announce next event within 7 days while momentum is hot.

The key is starting simple and systematically adding value as you scale. Your recurring event becomes your community's heartbeat, content engine, revenue baseline, and marketing channel for everything else you build.

[title] Group Tiers: Reward Loyalty and Drive Upsells
[path] Feature Guides/

# Use Group Tiers to Reward Loyalty and Drive Upsells

Group Tiers aren't just about volume discounts—they're your secret weapon for building a loyal fitness community and systematically increasing revenue per participant. This guide will teach you the psychology behind effective Group Tier strategies and provide blueprints you can adapt for any fitness event on Sweatpals.

## The Psychology of Fitness Group Dynamics

Understanding why Group Tiers work in fitness is crucial to implementing them effectively. Three key principles drive their success in our community:

**1. The Workout Buddy Effect**: People are 95% more likely to stick with fitness goals when they have a workout partner. Group Tiers leverage this by making it financially attractive to bring friends.

**2. Social Accountability**: Fitness participants perform better when they know others are watching and supporting them. Group Tiers create built-in accountability systems.

**3. Community Investment**: The more someone invests in your fitness community (through larger group purchases), the more committed they become to showing up and engaging.

## The Three-Tier Framework

Many successful Group Tier strategies follow a similar framework that you might consider adapting:

### Tier 1: The Buddy System (Gateway Tier)

- **Purpose**: Convert solo fitness enthusiasts into social exercisers
- **Discount**: 10-15% off individual price
- **Quantity**: 2 participants (perfect for workout partners)
- **Added Value**: Partner-focused bonuses (shared workout plans, buddy challenges)

### Tier 2: The Squad Goals (Target Tier)

- **Purpose**: Your main profit driver targeting friend groups and families
- **Discount**: 20-25% off individual price
- **Quantity**: 4 participants (optimal for small group motivation)
- **Added Value**: Team-based perks that enhance the group experience

### Tier 3: The Fitness Tribe (Premium Tier)

- **Purpose**: Maximize revenue from fitness communities and corporate groups
- **Discount**: 30-35% off individual price
- **Quantity**: 8+ participants (creates event energy and buzz)
- **Added Value**: Exclusive experiences that build lasting fitness communities

# Use Group Tiers to Reward Loyalty and Drive Upsells

Group Tiers can be much more than volume discounts—they're often an effective tool for building a loyal fitness community and increasing revenue per participant. This guide explores the psychology behind effective Group Tier strategies and provides blueprints you can adapt for your fitness events on Sweatpals.

## The Psychology of Fitness Group Dynamics

Understanding why Group Tiers tend to work well in fitness can help you implement them more effectively. Several key principles often drive their success in fitness communities:

**1. The Workout Buddy Effect**: Research suggests people are significantly more likely to stick with fitness goals when they have a workout partner. Group Tiers can leverage this by making it financially attractive to bring friends.

**2. Social Accountability**: Fitness participants often perform better when they know others are supporting them. Group Tiers can create built-in accountability systems.

**3. Community Investment**: Generally, the more someone invests in your fitness community (through larger group purchases), the more committed they tend to become to showing up and engaging.

## A Common Three-Tier Framework

Many successful Group Tier strategies follow a similar framework that you might consider adapting:

### Tier 1: The Buddy System (Gateway Tier)

- **Purpose**: Convert solo fitness enthusiasts into social exercisers
- **Typical Discount**: 10-15% off individual price
- **Quantity**: 2 participants (works well for workout partners)
- **Added Value**: Partner-focused bonuses (shared workout plans, buddy challenges)

### Tier 2: The Squad Goals (Target Tier)

- **Purpose**: Often becomes your main profit driver targeting friend groups and families
- **Typical Discount**: 20-25% off individual price
- **Quantity**: 4 participants (tends to work well for small group motivation)
- **Added Value**: Team-based perks that enhance the group experience

### Tier 3: The Fitness Tribe (Premium Tier)

- **Purpose**: Maximize revenue from fitness communities and corporate groups
- **Typical Discount**: 30-35% off individual price
- **Quantity**: 8+ participants (can create event energy and buzz)
- **Added Value**: Exclusive experiences that build lasting fitness communities

## Advanced Upselling Strategies to Consider

### The Event Series Progression

You might create a natural progression path that guides participants from one-time attendees to loyal event participants who book multiple sessions.

**Example: Personal Training Workshop Series on Sweatpals**

:::BlockQuote
Single Workshop: Try Together (2 spots) → $45 each      &#x20;
└── Focus: Introduction to partner training techniques
4-Week Series: Commit as Team (4 spots) → $35 each per session
&#x20; └── Focus: Progressive skill building with group support
8-Week Challenge: Transform Together (8 spots) → $28 each per session
&#x20; └── Focus: Comprehensive fitness goals with team accountability
Intensive Weekend: Champions Bootcamp (12 spots) → $22 each per session
&#x20; └── Focus: Elite training experience with exclusive one-on-one time
:::

### The Fitness Community Builder

Group Tiers can help create lasting fitness communities around your brand.

**Experience Multipliers for Sweatpals Hosts to Consider:**

- **Low-Cost, High-Value Add-Ons:**&#x20;
  - Behind-the-scenes gym access
  - Exclusive workout content or training guides
  - Priority booking for popular time slots

### The Corporate Wellness Angle

**Corporate Team Building Blueprint Example**

:::BlockQuote
Team Basics (4 employees): $30 each - Single team building workout
├── Possible additions: Team building exercises + wellness tips
Team Challenge (8 employees): $25 each - Half-day fitness event ← POTENTIAL TARGET TIER
├── Possible additions: Everything above + custom company challenges + wellness seminar
Corporate Champions (12+ employees): $20 each - Full-day fitness retreat
├── Possible additions: Everything above + executive wellness coaching + team competition prizes
:::

## Revenue Optimization for Hosts

### The Group Tier ROI Calculator

Consider using this formula to determine if your Group Tiers are profitable:

:::BlockQuote
Standard Revenue = Individual Price × Number of Participants
Group Tier Revenue = (Group Price × Quantity) × Number of Group Purchases
Added Value Cost = Cost of Bonuses × Number of Group Purchases
Net Group Tier Revenue = Group Tier Revenue - Added Value Cost

ROI = (Net Group Tier Revenue - Standard Revenue) / Standard Revenue × 100
:::

### The Sweet Spot Approach for Fitness Events

Many hosts find that their target tier represents 60-70% of their total Group Tier sales. For fitness events specifically:

- **If you're seeing too few sales in your target tier**: Your group size might be too large for the fitness activity, or the added value might not be compelling enough
- **If you're seeing too many sales in your target tier**: You might be leaving money on the table—consider testing higher prices or creating a more premium top tier

## Sweatpals Implementation Checklist

### Pre-Launch Planning

- Calculate your break-even point considering gym space capacity
- Source fitness merchandise or plan exclusive training experiences
- Create compelling tier names that resonate with fitness enthusiasts
- Design marketing materials that highlight transformation potential
- Consider testing your pricing with existing Sweatpals community members

### Launch Strategy on Sweatpals

- Consider announcing Group Tiers during peak booking times (Sunday evenings, Monday mornings)
- Try creating urgency with "limited spots available for group rates"
- Use social proof by showing how many fitness groups have already booked
- Highlight the total fitness value (equipment, guidance, community) vs. price
- Make progression clear from beginner-friendly to advanced athlete tiers

### Post-Launch Optimization

- Track conversion rates for each tier through your Sweatpals dashboard
- Monitor which fitness add-ons drive the most engagement
- Consider surveying group purchasers about their workout experience
- Adjust pricing based on demand and gym capacity
- Plan follow-up campaigns to previous group participants

## Common Fitness Event Mistakes to Avoid

### The Generic Fitness Approach

Consider that different fitness events may need different Group Tier incentives. A high-energy spin class might need different incentives than a restorative yoga session. Think about the energy level, fitness level requirements, and natural group dynamics of your specific workout type.

### The Equipment Inventory Problem

Make sure you have enough equipment for larger groups before offering big Group Tiers. Running out of equipment can negatively impact the participant experience.

### The Skill Level Mismatch

Consider whether your Group Tiers accommodate different fitness levels within groups. You might want to offer modifications or beginner-friendly options so groups with mixed abilities can participate together.

### The Space Capacity Issue

Your gym or studio space should accommodate larger groups safely. Consider sight lines, ventilation, and movement space when designing Group Tiers.

## Measuring Success on Sweatpals

Consider tracking these key metrics through your Sweatpals dashboard:

**Immediate Metrics:**

- Conversion rate by tier
- Average participants per booking
- Revenue per participant
- Group tier vs. individual sales ratio

**Long-Term Fitness Community Metrics:**

- Participant retention rate
- Repeat booking frequency
- Referral generation from group participants
- Customer acquisition cost

**Engagement Metrics:**

- Social media mentions and tags
- User-generated content (workout photos, progress posts)
- Community participation in challenges
- Review ratings and testimonials

## Building Your Sweatpals Fitness Community

Group Tiers on Sweatpals can be about more than just filling spots—they're often an opportunity to create such a great group experience that participants want to book your next event with their friends again. Each tier might feel like a natural progression that makes participants excited about attending future events and bringing more people into your fitness community.

When fitness enthusiasts see increasing value in group participation, they often transform from one-time attendees into repeat customers who bring new participants and create the energy that can make fitness events successful.

Your Group Tiers might make every participant feel like they're part of something bigger than just a single workout—they're experiencing a fitness event that's so much better with friends that they'll want to recreate it again and again.

[title] From Free to Fee - Monetizing Through Partnerships
[path] Playbooks/Growth Playbooks/

## Overview

Scale from self-funded to sponsor-supported events without losing authenticity. Gabriel at [Over the Top](https://www.sweatpals.com/host/overthetopxp) evolved The Blend from $0 (proof of concept) to $35 tickets with brand partnerships that enhanced the attendee experience while reducing his costs.

## When to Use This Play

- You've hosted 3-4 successful events proving concept
- You want to scale without pricing out your community
- You need to reduce operational costs
- You want to add value without raising ticket prices significantly

## The Philosophy

*"How do you make it worth that much?"* Gabriel at [Over the Top](https://www.sweatpals.com/host/overthetopxp) asks himself when raising prices. The answer isn't just supply and demand—it's adding tangible value through partnerships that subsidize and enhance the experience.

Attendees don't just get access to a venue and DJ—they get free coffee from a local roaster, espresso martini tastings, brand activations, and premium experiences. Partners get targeted exposure, quality content, and engaged audiences. Everyone wins.

## The Proof of Concept Phase

### Start Free or At-Cost

Gabriel's first Rivian partnership at [Over the Top](https://www.sweatpals.com/host/overthetopxp): hosted The Blend at their venue for $0 ticket price. His goal wasn't revenue—it was proving his community would respect the space, engage authentically, and create quality content the brand wanted.

**What to deliver:**

- Professional photography/videography of the event
- Social media content tagging the partner
- Attendee testimonials mentioning the experience
- Demographic report from Sweatpals data
- Zero incidents (respectful, brand-aligned crowd)

### The Follow-Up

Within a week, send the partner a recap deck:

- Attendance numbers
- Photo gallery
- Social media metrics (reach, engagement, tags)
- Video highlights
- Attendee demographics
- "Thank you for making this possible"

**Result:** Rivian now partners on multiple events including Gabriel's Tahoe ski weekend and golf tournament at [Over the Top](https://www.sweatpals.com/host/overthetopxp).

## Building Your Sponsorship Package

### Collect Data Through Sweatpals

After 3–4 events, you have valuable data:

- **Demographics:** Age, gender, location (from Sweatpals)
- **Psychographics:** Income indicators, interests (from questionnaires)
- **Behaviors:** What they buy, what they care about (from surveys)

Gabriel at [Over the Top](https://www.sweatpals.com/host/overthetopxp) surveyed his audience offering a $300 Amazon gift card. Questions included:

- What brands do you buy? (Ghost, Celsius, gym apparel brands)
- What car do you drive? (relevant for automotive sponsors)
- Annual income range
- Fitness habits
- Travel frequency

### Create Your Partnership Deck

**Page 1: Community Overview**

- Who you serve: "Multicultural professionals in the Bay Area, 25-35, interested in wellness and elevated experiences"
- Your mission and values
- Community size and engagement metrics

**Page 2: Event Performance**

- Past event photos (people having fun, brand-safe content)
- Attendance numbers: "90-150 attendees per event, 6 of 7 sold out within 24 hours"
- Frequency: "Monthly recurring + quarterly flagship events"

**Page 3: Audience Demographics**

- Age, gender, location breakdown from Sweatpals
- Income/profession data from surveys
- Brand affinity (what they currently buy)
- Social media reach (followers + typical engagement)

**Page 4: Partnership Opportunities**

- Tier 1: Venue partnership (space for exposure)
- Tier 2: Product/service integration (coffee, food, experiences)
- Tier 3: Title sponsorship (brand naming rights)
- Custom: Build something together

**Page 5: Deliverables**

- Social media content (posts, stories, TikToks)
- Professional photo/video gallery
- Logo placement (marketing materials, website)
- Demographic report post-event
- Product distribution/sampling to attendees

## Partnership Integration Strategies

### Value-Add, Don't Billboard

**Bad approach:** Hang sponsor logos everywhere, make attendees feel marketed to

**Good approach:** Integrate sponsor products into the experience authentically

Gabriel at [Over the Top](https://www.sweatpals.com/host/overthetopxp)'s examples:

- Coffee shop sponsors provide free coffee/matcha → attendees get value
- Espresso martini tasting by spirits brand → premium experience attendees want
- Rivian venue hosts event → cool space attendees enjoy exploring

The sponsorship enhances the event, it doesn't distract from it.

### Pricing Evolution Through Partnerships

Gabriel's journey at [Over the Top](https://www.sweatpals.com/host/overthetopxp):

- **Events 1–2:** $10 tickets, no sponsors, broke even
- **Event 3:** $15 tickets, local coffee shop provides samples (barter deal)
- **Event 5:** $25 tickets, spirits brand sponsors tasting (they cover cost, Gabriel charges more)
- **Event 7:** $35 tickets, multiple partners provide coffee, food, activations, and photographer

The ticket price went up 3.5×, but so did the value. Attendees now get:

- DJ and venue (original)
- Free coffee from premium roaster (partnership)
- Espresso martini tasting worth $15 (partnership)
- Professional photos (partnership or sponsored)
- $300 contest prize (Gabriel's investment from higher revenue)

### Use Sweatpals Questionnaires for Partner Intelligence

Add questions during ticket purchase:

- "What's your go-to energy drink?" → Data for Celsius, Red Bull, Ghost pitches
- "Do you currently drive an EV or considering one?" → Data for automotive brands
- "Favorite local coffee shop?" → Data for coffee roaster partnerships

This information helps you approach relevant brands and show them you have their target customer.

## Approaching Partners

### Warm Outreach Strategy

Don't cold email corporate headquarters. Find local decision-makers:

- Coffee roasters: Go to the shop, talk to owner/manager
- Brands with local presence: Visit the store, ask for community partnerships contact
- Corporate: Look for "community partnerships" or "experiential marketing" on LinkedIn

Gabriel's pitch structure at [Over the Top](https://www.sweatpals.com/host/overthetopxp):

:::BlockQuote
"Hi \[Name], I run [Over the Top](https://www.sweatpals.com/host/overthetopxp), a community of \[X] professionals in the Bay Area. We host monthly events that attract 100–150 people who care about \[values that align with brand]. Our last event sold out in 24 hours.

I'd love to explore partnering on our next event \[date] where we could feature \[specific brand integration]. Our audience demos: \[relevant data].

Would you be open to a quick call? Happy to share our partnership deck."
:::

### Start Local, Scale Corporate

Gabriel's path at [Over the Top](https://www.sweatpals.com/host/overthetopxp):

1. Local coffee shops (easy to approach, flexible)
2. Local fitness studios (barter deals, cross-promotion)
3. Regional brands (Bay Area-focused companies)
4. National brands with local presence (Rivian space, etc.)

Once you have 2-3 local partnerships, you can approach bigger brands with proof: "We've successfully partnered with \[Local Brand], \[Local Brand], and \[Local Brand]. Here's the content we created..."

## Managing Partner Relationships

### Set Clear Expectations

Create a simple agreement covering:

- What partner provides (venue, product, cash, etc.)
- What you provide (attendance numbers, content, brand visibility)
- Timeline and deliverables
- Exclusivity (can they be only energy drink brand at event?)

### Deliver Consistently

Gabriel's post-event partner routine at [Over the Top](https://www.sweatpals.com/host/overthetopxp):

- Send photo/video gallery within 3 days
- Tag partner in social posts throughout the week
- Provide demographic report from Sweatpals
- Share engagement metrics
- Thank you note with "let's do this again"

### Scale Partner Value

**First partnership:** Local coffee shop provides 100 cups of coffee

**Second partnership:** They also bring a photo backdrop and product samples

**Third partnership:** They become recurring partner across all Blends

**Fourth partnership:** They sponsor your annual flagship event

Each success builds trust and unlocks bigger opportunities.

## Real Results

Gabriel's partnership evolution at [Over the Top](https://www.sweatpals.com/host/overthetopxp):

- **Months 1–3:** No sponsors, tickets covered costs
- **Month 4:** First coffee shop partnership, tickets rose to $20
- **Month 6:** Multiple partners (coffee, spirits, venue), tickets at $35
- **Savings:** Partners subsidizing \~$500–$800 per event in venue, product, and services
- **Value:** Attendees getting $50+ worth of experiences for $35 ticket
- **Platform costs:** Eliminated $300/month by consolidating to Sweatpals

### Partnership ROI

Instead of Gabriel spending:

- $200 on venue rental → Rivian provides free
- $300 on coffee for 100 people → Coffee roaster provides free
- $200 on photographer → Brand sponsor covers

He invests those savings in:

- Better marketing (Facebook ads)
- Enhanced production (sound system, lighting)
- Bigger prizes ($300 sing-along contest)
- Content creation (videographer for TikTok)

The partnerships don't just reduce costs—they enable him to reinvest in making events even better, which drives more demand, which attracts better partners. Flywheel effect.

## Common Mistakes

- **Don't approach partners before proving concept**—host 3–4 successful events first
- **Don't make events feel "sponsored"**—integrate authentically
- **Don't commit to deliverables you can't execute**—under-promise, over-deliver
- **Don't let partners dictate your event creative**—maintain your vision and brand

## Your Action Plan

**After Event 3:** Survey your audience with a questionnaire in Sweatpals and a separate Google Form for deeper demographics. Offer an incentive ($300 gift card raffle).

**Week 1:** Build partnership deck using Sweatpals data and event photos.

**Week 2:** Identify 5–10 local brands aligned with your community values. Find decision-makers on LinkedIn or visit in person.

**Week 3:** Reach out with personalized pitches. Offer first partnership at low commitment (just provide product for sampling).

**Event Day:** Execute flawlessly, capture all content featuring partner.

**Post-Event:** Send recap within 72 hours. Ask: "This worked well—want to do it again next month?"

Gabriel at [Over the Top](https://www.sweatpals.com/host/overthetopxp) proves that partnerships aren't about selling out—they're about scaling up while delivering more value to your community.

[title] Membership Migration Part 2: Identify Your Payment Setup
[path] Playbooks/Operations Playbooks/

Before starting your migration to SweatPals, it's crucial to understand how your membership payments are currently processed. This determines your entire migration process and timeline.

## Path 1: Your Own Stripe Account

### How to Know This Is You

You have your own Stripe account if you can answer **YES** to these questions:

- ✔️ Do you log into [stripe.com](https://stripe.com) directly with your own email and password?
- ✔️ Can you see all your subscribers' information in your Stripe dashboard?
- ✔️ Do you have full access to payment history, customer data, and billing settings?
- ✔️ Did you personally set up your Stripe account (not through another platform)?

### What This Looks Like

When you log into Stripe, you see:

- A dashboard showing your business name
- Direct access to all customer records
- Ability to issue refunds directly
- Full transaction history

### Migration Impact for Your Members

**Good news!** Members' saved payment methods transfer automatically via Stripe's secure data migration. They won't need to take any action or re-enter their card information.

### Your Migration Timeline

**Typically 3-5 weeks&#x20;**&#x66;rom start to finish, though complex accounts with a high volume of membership or special billing arrangements may require additional time.

## Path 2: Platform-Managed Payments

### How to Know This Is You

You have platform-managed payments if:

- ✔️ You use platforms like Mindbody, Kajabi, Circle, PushPress, or Wodify
- ✔️ Your platform collects payments from members and sends you payouts
- ✔️ You **DON'T** have direct login access to a Stripe account
- ✔️ You manage subscriptions through your platform's interface, not Stripe directly

### What This Looks Like

- You log into your fitness/community platform to manage memberships
- You receive regular payouts (weekly/monthly) from your platform
- Refunds are processed through your platform's support
- You can't directly access raw payment data or customer payment methods
- Your platform handles all payment processing compliance

### Common Platform Examples

**Fitness Platforms:**

- Mindbody
- PushPress
- Wodify
- Zen Planner

**Community/Course Platforms:**

- Kajabi
- Circle
- Mighty Networks
- Teachable
- Thinkific

### Migration Impact for Your Members

Members will need to:

- Re-enter their payment information on SweatPals
- Complete a micro card verification charge (\~$0.50)
- Take action within the migration window to maintain their membership

### Your Migration Timeline

**Typically 2-3 months** to allow for member communication and action.&#x20;

Timeline varies based on migration approach:

- **Batched migration**: All members migrate at once (faster, \~2 months)
- **Rolling migration**: Members migrate at their billing cycle end (smoother, \~3+ months)
