Mindbody: How to Request Your Data Export

mindbody data request guide this guide will help you request your customer and payment data from mindbody in preparation for migration follow the steps carefully to ensure a smooth transition timeline overview step description relative date r = email request the day you send the initial request to mindbody r payment data request date mindbody is first contacted for exit files and payment data r+0 exit files request recommended date to request your exit files from mindbody r+40 go live planned go live date for migration r+45 account cancellation suggested date to cancel your mindbody account (after migration is complete) r+75 ⚠️ critical reminder do not cancel your mindbody account until the migration is fully complete (r+75) canceling early may disrupt member billing or prevent a successful data export step 1 prepare your request required information before sending your request, have the following information ready mindbody account number / merchant id planned go live date new payment processor name (pgp key will be shared later) step 2 send your initial email to mindbody email template – copy, paste, and fill in your details subject request for exit files – account \[ your account number ] email body dear mindbody team, we are requesting an export of our customer and subscription data for account \[your account number / merchant id] please provide the following data in csv format customer name customer email customer phone number last 4 digits of stored cards card brand (visa, mastercard, etc ) expiration month/year card country billing zip tokenized card id tokenized payment information for all stored customer payment methods payment data we are requesting the export of all stored payment data, including encrypted credit card data we understand that all payment data must be securely encrypted and are happy to provide our new payment processor details and pgp key upon request timeline we would like to receive these files by \[date r+40, at least 7 business days before go live] please confirm receipt of this request expected timeline for file delivery any required documentation or verification needed thank you for your assistance best regards, \[ your name / team name ] step 3 follow up follow up protocol if you don't hear back, follow up daily until you receive a response if you have a direct contact at mindbody, reach out to them directly to expedite the process step 4 confirm data export & encrypted payment info once mindbody responds to your request, they may ask you to confirm 1\ delivery date for your data choose a weekday (monday–friday) must match the date requested in your initial email (r+40, at least 7 business days before go live) 2\ encrypted credit card data all exported credit card data must be encrypted mindbody will request the name of your new payment processor and their pgp key how to provide the pgp key stripe will generate a pgp key and send it directly to sweatpals sweatpals will forward that stripe generated email to you forward that exact email (unchanged) to mindbody in your reply ⚠️ warning do not generate or copy a pgp key yourself forwarding the stripe generated email ensures mindbody uses the correct encryption details copy paste response template (fill in date only) yes, we are requesting encrypted credit card data the requested delivery date is \[ same date as initial email – r+40 ] our new payment processor is stripe i have forwarded the stripe generated pgp key email separately for secure encryption please let us know if any additional verification or documentation is required additional notes mindbody may require additional identity verification due to the sensitivity of the data respond promptly to any verification requests to avoid delays ensure the delivery date exactly matches the date stated in your original request email
